We are seeking a highly organized and proactive Executive Secretary Intern to support the daily operations of our executive leadership team. This role is ideal for students or recent graduates pursuing a career in business administration, executive support, or office management. The intern will gain hands-on experience working directly with senior leadership while learning best practices in executive-level communication, scheduling, and document management.

Key Responsibilities:

  • Assist with scheduling meetings, coordinating calendars, and managing executive appointments.

  • Prepare meeting agendas, take notes during executive meetings, and follow up on action items.

  • Draft internal memos, emails, and executive correspondence with professionalism and accuracy.

  • Support document management, filing, and organization of confidential records.

  • Help organize virtual meetings and events, including sending invites, preparing materials, and recording attendance.

  • Monitor and prioritize email communications and support time-sensitive requests.

  • Conduct research on behalf of the executive team and compile briefings or summaries as needed.

  • Assist with travel planning, expense tracking, and other administrative tasks.

Preferred Qualifications:

  • Currently enrolled in or recently graduated from a program in Business Administration, Communications, Office Management, or a related field.

  • Strong verbal and written communication skills.

  • Excellent time management and organizational abilities.

  • Proficient in Microsoft Office and Google Workspace tools.

  • Professional demeanor and ability to handle confidential information discreetly.

  • Detail-oriented with the ability to multitask and prioritize in a fast-paced environment.
