FRONT OFFICE ADMINISTRATIVE CLERK

Position Overview
Bradenton Tropical Palms (BTP) is a 55+, pet restricted Cooperative Community comprised of approximately 565 lots. The Park is governed by a Board of Directors (BOD) and each shareholder in the park is a member of the Park Community Association. The Park has governing documents, a Proprietary Lease, Operations Budget and Reserves.
The Front Office Administrative Clerk position supports the Park Manager onsite with matters related to residency in our park, engaging with residents, answering telephone and email enquiries and general operational tasks. This position also provides exemplary service in a manner consistent with the values and mission of Bradenton Tropical Palms with outstanding communication and customer service skills.
This position will require a current Background Check.
Reporting Relationships
The Front Office Administrative Clerk reports to the Park Manager.
Education
This position requires successful completion of High School or the equivalent
At least two (2) years experience in office work
Essential Functions and Responsibilities
Greets anyone coming into the office to assist them or direct them to who can help them.
Provides information regarding sales and rental and Emotional Support Animals.
Receives documentation for sales and rental (S&R) and checks for the completeness of the package.
Initiates background and credit checks for prospective residents.
Provides a copy of the owners account for the S&R committee.
Ensures S&R worksheet is in package and package is delivered to committee members within timeframes.
Follow up on any action items regarding S&R after the board meeting.
Answers telephone calls and monitor website for messages requiring feedback.
Opens mail and distributes to appropriate mailboxes.
Assists in the preparation of the monthly Board Meeting Agenda.
Prepares labels and monitors outgoing mail.
Assists in the preparation of AGM documents, Voting requirements and notices.
Performs other duties as assigned and provides back-up to the Assistant Park Manager.
Technical Proficiencies
Must have working knowledge of efficient filing systems, office machines and equipment, including computer software (email, Word, Excel).
Proficient keyboard skills.
Communication Skills
Strong customer service, communication and interpersonal skills required.
Responds to phone calls and correspondence in a timely manner.
Ability to analyze and deal with a variety of situations that otherwise could be potential problems.
Maintains a professional relationship with Park Manager, Board of Directors, other employees, residents and vendors.
Work with the Park Manager to ensure residents receive a high level of service including a timely and complete resolution of concerns, coordinating special services and requests.
Special Requirements, Physical and Mental Demands
Ability to lift fifty (50) pounds, standing, sitting, walking and stair climbing.
Required to work at a personal computer for extended periods of time as well as extended phone calls.
Requires mental alertness and the ability to communicate clearly.
Ability to detect auditory and/or visual emergency alarms.

Must be able to work effectively in a team environment and independently.
Must possess leadership skills, time management skills and communication skills.
