FULL JOB DESCRIPTION
Position Summary The Clinical Office Administrator is the "face of the clinic," responsible for daily facility operations, Veteran check-ins, and administrative workflow. You will ensure the facility is secure, compliant with HIPAA/OSHA standards, and that both practitioners and Veterans have a seamless experience.
Key Responsibilities:
1. Facility Operations & Security

Opening/Closing: Responsible for disarming/arming security systems, unlocking/locking the facility, and ensuring all duress pendants are accounted for.

Technology Readiness: Ensure all laptops are functional and internet connectivity is stable for the day's assessments.

Sanitization: Maintain a clean environment by sanitizing common areas and exam rooms between appointments.
2. Veteran Care & Administration

Reception: Greet Veterans, verify identity (ID checks), and complete necessary check-in screenings.

Scheduling: Confirm appointments 24-48 hours in advance and manage same-day modifications or cancellations.

Records Management: Handle faxes, scan medical documentation, and assist with ancillary orders for labs or diagnostics.

PHI Compliance: Ensure all Protected Health Information (PHI) is secured or shredded daily.
3. Clinical & Technical Support

Chaperone Duties: Act as a clinical chaperone during exams when requested to ensure the safety and dignity of the Veteran and the Practitioner.

Diagnostic Tests: Assist in performing light clinical tests as needed, including Pulmonary Function Tests (PFT), Ankle-Brachial Index (ABI), and Electrocardiograms (EKG).

Supply Management: Conduct weekly audits of medical and office supplies to ensure the clinic is fully stocked.
4. Reporting & Safety

Weekly Updates: Send cleanliness and status reports to Network Operations every Friday.

Compliance: Conduct monthly safety tests on AEDs and fire extinguishers; complete quarterly OSHA surveys.
Required Qualifications

Education: High School Diploma or GED required.

Experience: Previous experience in a medical office, administrative, or customer service role is preferred.

Gender Requirement: Male only (for clinical chaperone purposes).

Technical Skills: Proficient in Microsoft Office Suite, Google Drive, and basic IT troubleshooting (internet/printers).

Attributes: Excellent problem-solving skills, punctual, and able to work independently with minimal supervision.

Physical Ability: Must be able to sit for long periods and occasionally lift up to 50 lbs.
