Payroll Administrator – Centreville, VA (On-site)
Avenu Insights & Analytics is seeking a detail-oriented and experienced Payroll and Concur Administrator to join our dynamic Accounting team. In this pivotal role, you will be responsible for the accurate and timely processing of payroll using ADP for multiple subsidiaries and will serve as the subject matter expert and administrator for our Concur Travel & Expense system. You will ensure compliance with all applicable regulations and company policies while providing excellent support to our employees.
Responsibilities:
- Payroll Processing (using ADP):
- Manage the end-to-end payroll process on a bi-weekly or semi-monthly basis for 800+ (non-exempt and exempt) employees using ADP Workforce Now, including international payrolls.
- Accurately input and review employee data changes, including new hires, terminations, salary adjustments, tax withholdings, and deductions.
- Process garnishments, levies, and other court-ordered deductions in compliance with legal requirements.
- Prepare and reconcile payroll-related reports, including payroll summaries, tax filings, and benefit deductions.
- Ensure timely and accurate filing of federal, state, and local payroll taxes.
- Troubleshoot and resolve payroll discrepancies and employee inquiries in a timely and professional manner.
- Stay up-to-date on payroll regulations and best practices.
- Assist with year-end payroll processing, including W-2 and 1099 preparation and distribution.
- Participate in payroll audits and compliance reviews.
- Concur Travel & Expense Administration:
- Serve as the primary administrator and subject matter expert for the Concur Travel & Expense system.
- Configure and maintain the Concur system, including expense policies, approval workflows, user profiles, and integrations with other systems (e.g., accounting, HR).
- Provide training and support to employees on Concur system usage and expense reporting policies.
- Troubleshoot and resolve Concur system issues and employee inquiries.
- Generate and analyze Concur reports to identify trends and areas for improvement.
- Manage user access and permissions within the Concur system.
- Stay informed about Concur system updates and implement relevant new features.
- Other Responsibilities:
- Assist with other finance-related tasks as needed.
- Maintain confidentiality of employee and payroll information.
- Contribute to the development and documentation of payroll and expense policies and procedures.
- Participate in process improvement initiatives.
Qualifications:
- 5 years of experience in payroll processing.
- Strong working knowledge of ADP Workforce Now (or specific ADP platform).
- Familiarity with or experience administering and supporting the Concur Travel & Expense system.
- Understanding of federal, state, and local payroll regulations and compliance requirements.
- Experience with general accounting principles related to payroll and expense.
- Excellent analytical and problem-solving skills with strong attention to detail.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Strong communication and interpersonal skills with the ability to interact effectively with employees at all levels.
- Ability to work independently and as part of a team.
- Demonstrated ability to maintain confidentiality and exercise discretion.
Preferred Qualifications:
- Associate's or Bachelor's degree in Accounting, Finance, Human Resources, or a related field.
- Experience with processing international payroll.
- Experience with Concur integrations with other ERP or accounting systems.
