As we grow, we’re looking for high-performing, driven professionals to help us reach new heights, starting with a talented Executive Assistant to support our executive leadership.
We are seeking a dynamic, proactive, and highly organized Executive Assistant to support our CEO and President at our Canby, OR facility. This is a 100% onsite role and plays a critical part in ensuring the executive office operates with maximum efficiency and professionalism.
As a trusted partner to our executive leadership, the Executive Assistant will manage both daily operations and long-term strategic coordination. This role blends high-level administrative support with meeting and event planning, data reporting, and cross-functional collaboration.

KEY RESPONSIBILITIES:
Executive Support
- Provide comprehensive administrative support to the CEO and President, including calendar management, scheduling, and travel coordination.
- Serve as a "gatekeeper" for the CEO’s time, prioritizing meetings and engagements with professionalism and tact.
- Anticipate executive needs and proactively prepare materials, reminders, and logistics.
- Create and edit high-quality presentation decks; must be highly proficient in PowerPoint.
- Draft, edit, and manage correspondence, reports, agendas, and meeting notes—many of which are confidential.
- Support Executive, Leadership, and Board meeting logistics including agenda preparation, minute-taking, and action item tracking.
- Coordinate follow-ups and ensure team adherence to key deliverables and deadlines.
- Compile and report monthly and quarterly corporate metrics.
- Represent the executive office with professionalism and approachability.
Board of Directors Support
- Coordinate quarterly Board meetings and monthly calls, including logistics, travel, catering, and communications.
- Prepare and distribute meeting agendas and materials.
- Record minutes and maintain accurate corporate documentation.
- Manage Board member communications and expense reimbursements.
Data and Process Analysis
- Perform ad hoc data reporting and analysis for the CEO and Executive Team.
- Evaluate internal processes and propose efficiencies and cost-saving opportunities.
- Support data-driven decision-making by providing timely, organized reports.
Event Coordination & Internal Engagement
- Plan and execute internal events, team-building activities, and executive-sponsored celebrations.
- Serve as the executive sponsor of the Celebration Committee; manage event budgets.
- Oversee employee recognition programs and coordinate mailings (holiday cards, thank-you notes, etc.).
QUALIFICATIONS:
- High school diploma or GED required; Bachelor’s degree preferred
- Minimum of 5 years supporting senior executives, preferably in a manufacturing environment
- Strong PowerPoint and Microsoft Office Suite skills (Excel, Word, Outlook)
- Excellent written and verbal communication skills
- Experience coordinating executive-level meetings, events, and Board materials
- Demonstrated discretion and ability to handle confidential information
- Ability to remain composed and flexible in fast-paced, changing environments
- Strong organizational and time management skills with the ability to multitask effectively
- Friendly, approachable demeanor with a proactive, problem-solving mindset
- Strong sense of professionalism, reliability, and accountability
WORKING HOURS & TRAVEL:
- Schedule: Monday through Friday, 8:00 AM – 5:00 PM
- Work Location: 100% onsite at our Canby, OR facility
- Travel: Minimal travel required (less than 5%); occasional off-site events or executive support needs may arise
PHYSICAL DEMANDS:
- Ability to sit for extended periods of time at a desk and work on a computer
- Frequent use of hands and fingers to operate office equipment, including keyboards, phones, and printers
- Ability to lift and carry up to 25 pounds, such as binders, catering supplies, or event materials
- Occasional walking, bending, or standing during meeting prep, events, or facility coordination
- Ability to focus on detailed tasks and manage multiple priorities in a fast-paced environment
- Must be able to communicate clearly and professionally, both verbally and in writing
- Comfortable navigating an office setting within a manufacturing facility, including exposure to standard operational noise and activity
