Holt Communications, Inc. is seeking a detail-oriented Billing & Finance Coordinator (Staff Accountant) to take ownership of invoicing, payroll, and financial coordination. This role is critical to ensuring accuracy, accountability, and confidence in our financial operations.


Responsibilities

  • Review and validate employee and subcontractor timesheets
  • Review and organize project-related expenses
  • Manage invoice deadlines and billing cycles
  • Run reports and compile data for client invoice preparation
  • Draft, review, and finalize client invoices (project-based billing)
  • Enter invoices and expenses into QuickBooks Online
  • Process accounts payable and accounts receivable
  • Process employee payroll and reimbursements
  • Ensure alignment with contracts, budgets, and billing requirements
  • Maintain accurate financial records and documentation


Qualifications

  • 3–5 years of accounting, billing, or financial coordination experience
  • Strong experience with QuickBooks Online
  • Experience with project-based or timesheet-based billing
  • Proficiency in Excel
  • High attention to detail and accuracy
  • Ability to manage deadlines and work independently


Preferred Qualifications

  • Experience with government or infrastructure-related contracts
  • Experience in a professional services or consulting firm
  • Familiarity with payroll systems
