Position Summary
The Project Manager at Experience Fresh plays a critical role in keeping momentum, clarity, and flow across all client projects. You live at the intersection of people and process helping our teams deliver their best work, on time and on target.
Youll work closely with creative and account teams to build timelines, manage resources, and flag issues before they become blockers. Youre not just tracking tasks youre proactively balancing workloads, spotting potential bottlenecks, and serving as a steady, solution-oriented presence in a fast-moving creative environment.
This is an ideal role for someone with strong organizational instincts, a love for cross-functional collaboration, and experience managing creative workflows in an agency setting.
Key Responsibilities
- Plan: Set timelines, milestones, deliverables, and responsibilities for each project.
- Coordinate: Align creative, strategy, and production teams while anticipating cross-project needs.
- Track: Monitor project progress, flag risks, and keep things on schedule and within scope.
- Balance: Maintain visibility across all workstreams to prevent overload and prioritize effectively.
- Support: Remove roadblocks, manage resourcing, and keep teams focused and moving forward.
- Communicate: Provide clear and consistent updates for both internal teams and account leadership.
Core Responsibilities
- Build and maintain detailed project timelines and milestone calendars across clients and departments
- Facilitate project kickoff meetings, weekly check-ins, and closeouts with internal teams
- Manage assignments across creative (art, copy), strategy, and production specialists
- Flag and resolve bottlenecks, overlapping deadlines, or workload conflicts
- Serve as the central connector between account, creative, and production teams
- Document progress, changes, and approvals to ensure accountability and transparency
- Coordinate resource planning across internal team and freelance partners
- Ensure smooth handoffs into production, deployment, or post-launch support
- Contribute to process development and optimization as we grow
Qualifications
- 35 years of project management experience in a creative, marketing, or agency environment
- Demonstrated experience managing multiple timelines and complex workflows across departments
- Familiarity with project management tools such as Asana, Workamajig, or similar
- Strong communication and problem-solving skills
- Ability to balance empathy and accountability in working with creative teams
- Calm under pressure, with a focus on outcomes, not just checkboxes
- Experience in digital marketing, brand campaigns, or video/production workflows
