Our client firm is seeking a detail-oriented and proactive professional to support organizational effectiveness through project management, administrative coordination, and executive-level support. This role will be responsible for managing cross-functional initiatives, ensuring smooth administrative operations, and handling sensitive matters with discretion.
Key Responsibilities
Administrative & Executive Support
- Provide high-level administrative support to the CEO, Executive and leadership team.
- Manage scheduling, prepare meeting agendas, and ensure timely distribution of materials.
- Handle confidential information with the utmost discretion and professionalism.
- Coordinate logistics for internal and external meetings, events, and leadership offsites.
- Draft communications, presentations, and reports on behalf of leadership.
- Event management of several key company-wide events we host yearly, including monthly executive meeting coordination and execution.
- Manage, negotiate, and seek vendors to support our various events
- Assist with travel arrangements for out of town employees to attend company events, as well as company-wide trips awarded for incentives.
Project & Operations Management
- Lead and coordinate special projects aligned with company priorities.
- Support execution of the strategic plan by tracking milestones, deliverables, and outcomes.
- Partner with leaders across departments to streamline processes and improve operational efficiency.
- Oversee select vendor relationships and assist with contract review/negotiations.
- Monitor progress on key initiatives and provide updates to senior leadership.
Team & Communication Alignment
- Serve as a connector between teams to ensure alignment on goals, initiatives, and deadlines.
- Support planning and coordination of company-wide programs, contests, and incentive initiatives.
- Foster collaboration across departments to ensure clear communication and accountability.
Qualifications
- Proven experience in executive support, administration, operations, or project management.
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Exceptional communication skills, both written and verbal.
- High level of discretion in handling confidential and sensitive matters.
- Strong problem-solving skills and ability to anticipate needs.
- Ability to thrive in a fast-paced, dynamic environment.
