Job DescriptionFront Desk Coordinator

Reports To: Practice Manager / Owner
Location: Prospect, KY

Compensation: $17-$21/hr (depending on experience)

Position Summary

The Front Desk Coordinator is the first point of contact for patients at_____. This role is responsible for creating an exceptional client experience, managing daily front desk operations, supporting providers, and ensuring smooth clinic flow. The ideal candidate is professional, detail-oriented, and passionate about aesthetics and patient care.

Key Responsibilities

  • Greet all patients warmly, provide check-in/check-out support, and ensure a seamless guest experience.

  • Manage phones, emails, and text inquiries with professionalism and timeliness.

  • Schedule and confirm appointments using clinic software (e.g., Aesthetic Record, Boulevard, or comparable system).

  • Collect payments, process memberships/packages, and reconcile daily sales.

  • Maintain lobby cleanliness, presentation of retail products, and restock supplies as needed.

  • Patient follow up and re-engagement

  • Retail Sales of skin care

  • Support providers by preparing treatment rooms and assisting with patient flow.

  • Track KPIs such as rebooking, membership sign-ups, and retail sales.

  • Follow HIPAA and clinic confidentiality standards at all times.

  • Transferring paper charts into EMR

  • Support laundry needs and kitchen tasks

  • Light housekeeping around office (as needed and end of day)

  • Assistance with preparation of surgical charts and documentation for upcoming surgical cases

  • Assistance creating quotes for surgical procedures

  • Discuss patient financing options

  • Conduct follow-up outreach for consultations

Qualifications

  • High school diploma or equivalent; college coursework preferred.

  • Prior front desk, hospitality, or medical aesthetics experience strongly preferred.

  • Strong communication skills and ability to provide exceptional customer service.

  • Comfortable working with scheduling, POS, and EMR software.

  • Ability to multitask in a fast-paced environment and maintain a professional demeanor.

  • Proficiency with PatientNow is a plus

Schedule & Compensation

  • Hourly rate: $17-$21/ hr

  • Schedule: Full-time
