Beloit Health System is hiring a Hendricks Family Heart Hospital Secretary to join our team.
- Shift: 1st
- Schedule: 8 hours shifts, with varied time from 6:30a-8:30a to 3p-5p
- Hours per week: 40 hours per week
- Benefits Status: Benefits Eligible

The Hendricks Family Heart Hospital Secretary greets all patients, visitors and vendors who enter the fourth floor. The Hendricks Family Heart Hospital Secretary schedules Cardiovascular Services Department visit appointments, creates outpatient encounters, registers all Cardiovascular Services Department appointment types, in addition to checking in the appointments and collecting applicable copayments. The Hendricks Family Heart Hospital Secretary creates messages for providers in order to facilitate communication between providers and patients, obtains permission from patients to get records from other facilities for continuing care, reschedules and readjusts department schedules as the need arises, and assists family members and vendors.
The Hendricks Family Heart Hospital Secretary will:
- Greet patient and family members courteously and ensure that they are registered in a timely fashion.
- Answer incoming phone lines in a prompt and courteous manner.
- Accurately record pertinent information when scheduling appointments and taking messages.
- Handle and screen phone calls, receives faxes and facilitates communication with staff and physicians.
- Verify HMO's for treatment authorization. Completely and accurately implements the check-in process to include guarantor selection, updating demographic information, insurance entry and verification, co-payments and scanning of insurance card.
- Direct patients to the correct waiting area.
- Verify and update emergency contact information.
- Complete requirements for all government requirements.
- Complete all patient forms thoroughly and accurately, including forms related to admission, discharge, quality assurance and Medicare. Obtains all necessary signatures on forms. Exhibits accuracy and thoroughness in the registration process of payer/ financial information collected and recorded in the computer system.
- Collects payment accurately (includes cash, check, debit and credit card payments)
- Refer patient questions regarding insurance, billing, patient accounts, payments and record transfer to the proper department.
- Set up information on the system for new patient accounts.
- Demonstrates the ability to navigate and perform functions accurately and efficiently with the computer software applicable to the Cardiovascular Serviced Department and its modalities.
- Registers and activates orders for outpatient services in the cardiovascular area.
- Schedules appointments according to the Cardiovascular Services Department's guidelines and uses all options in an accommodating manner.
- Complete and help with record transfer requests accurately and /or coordinates record transfer personnel with patients as necessary.
- Accept and helps to route patient forms to the proper departments. FMLA and Work
- Other duties as assigned.
Job Requirements:
- High School graduate or equivalent required.
- Comprehension and implementation of the Cerner maintenance manual.
- Medical terminology and/or medical reception experience preferred.
- Excellent organizational, verbal communication and interpersonal relation skills to be utilized with coworkers, patients and the public.
- Ability to work independently in a fast paced environment while keeping information private and confidential.
- Must adhere to established regulatory agencies, Beloit Health System and department policies, rules and regulations.
- Maintain ethical conduct and keep personal, financial and medical information regarding patients and co-workers confidential.
- Entails walking, standing, lifting, stooping, crouching, reaching, pushing, pulling, grasping and repetitive motion activity. Requires the ability to sit for extended periods of time.
- Must be able to multi-task and prioritize work. Must possess the ability to maintain control and professionalism.
- High level of flexibility is required.
Reporting relationship: Cardiovascular Services Director and Manager.
