Overview: The Sales Assistant supports the Sales team; and assists with supporting the office consisting of 5-10 individuals. Communicating with clients and internal Jamie Hollander staff is required to ensure event success. Roles and responsibilities include, but are not limited to, conducting tours, assisting with proposals, participating in the initial portion of event planning, handling the transition of event details to the operations team and Event Coordinator, assisting with onboarding and HR duties if needed.
Overview/Responsibilities:
Sales/Planner
Conduct venue tours to prospective couples - must be polished, professional, and informative
Assist with creating proposals per planner needs
Assist with group tasting invitations and planning
Generate post-tasting menu proposal adjustments as needed
Seek/Define and identify new opportunities in coordination with the Director of Sales (off-peak sales, corporate and small social). Evaluate and coordinate marketing efforts through our various platforms
Assist with managing social media per venue, adding event photos, sourcing collaboration with vendors and improving online presence
Attend client events to satisfy client experience and manage expectations for their event along with the Event
Planner when needed
Assist Event Planner with constructing layout, floor plans, timelines, and other event details
Work with the Event Planner to schedule and conduct the final walk through meetings
Work with Event Planner to generate post walk through shared documents with notes, details and rough timeline as discussed with client
Office/Admin/HR
Assist with managing the main office order office supplies, assist planning work related events
Assist with following procedures regarding recording and tracking deposits, final payments, and contracts updates AR worksheet, prompts Director of HR/Business Operations to send to planners monthly
Assists with handling tip counting, tracking, distribution process
Assists with uploading event information from event folders to StaffMate prior to event week
Assists with creating event information clipboards weekly
Assists HR with tasks as needed
Schedule
Wednesday - Sunday
Full Time
Ability to travel between Bristol office and venues (Philadelphia/Bucks County area)
Desired Qualifications:
Minimum 2 years experience of event or banquet management
Food, beverage and service knowledge
Experience in hotel or catering organizations is preferred
A positive approach to managing people
Ability to creatively find solutions to problems in a high-pressure environment
Ability to work a flexible schedule based on business demands; nights and weekends
Ability to work at multiple locations; office locations include Bristol PA, and Philadelphia
Working Conditions
Working conditions involve noise, heat, changes in temperature, kitchen elements, odors, moisture, etc
May be required to work additional hours as dictated by the workload and staffing
