We are looking for a highly motivated, energetic, and customer-focused Medical Receptionist to become the first point of contact for our patients. This role is essential in delivering outstanding service, educating patients about our offerings, and ensuring a smooth and welcoming experience from the moment they walk through our doors or call in. A strong sales ability, exceptional customer service skills, and a warm, outgoing personality are a must!

As a Medical Spa Receptionist, you’ll be part of a collaborative team, engaging with patients, supporting our front-office operations, and contributing to the overall success of the practice.


Key Responsibilities:

- Patient Interaction: Greet patients and visitors in a friendly and professional manner, both in-person and over the phone. Ensure they feel welcome and informed.

- Sales and Education: Educate patients about our medical spa services and offerings, actively promoting treatments and products to meet patient needs.

- Appointment Scheduling: Manage the scheduling and confirming of patient appointments, ensuring timely follow-ups and clear communication.

- Patient Check-in/Check-out: Check patients in for appointments, verify their demographic information, and ensure accurate documentation and payment collection.

- Customer Service Excellence: Maintain a high standard of customer service, addressing patient inquiries and concerns with empathy and professionalism.

- Reception Area Management: Ensure the reception area runs smoothly, including managing phone calls, maintaining a clean and organized waiting area, and monitoring patient wait times.

- Team Collaboration: Work closely with the medical and support teams to ensure a seamless patient experience and smooth daily operations.

- Administrative Support: Assist with general office tasks such as maintaining brochure displays, managing incoming emails, and retrieving voicemail messages.

- Technology Use: Utilize our computer-based EMR system for patient scheduling, record-keeping, and general administrative tasks.

- Ability to work between two locations.


Qualifications:

- Flexible Schedule: Must be available to work evenings, weekends, and holidays as needed.

- Reliable and Professional: Strong attendance and a solid work ethic are essential.

- Previous Experience: Experience in a dental, medical, or spa setting is preferred but not required.

- Personality: Positive, friendly, and professional attitude with a strong desire to help others.

- Team-Oriented: Excellent communication and interpersonal skills with the ability to collaborate effectively with colleagues and patients.

- Technical Skills: Proficiency with computers, including EMR systems, and comfortable using standard office equipment.

- Training will be done at our Tacoma location and one day minimum will be worked at our Tacoma location.
