Position Summary:
We are seeking a Senior Accountant who will report to the Accounting Manager. This position plays a critical role in maintaining accurate financial records, processing payroll, supporting accounts payable and ensuring regulatory compliance, including responsibilities related to 401(k) plan administration and workers' compensation audits. The ideal candidate brings strong accounting skills, sound judgment, and the ability to work in a fast-paced environment.
Responsibilities:
Payroll Functions:
- Process bi-weekly payroll accurately and on time
- Maintain payroll records and employee data, including taxes, benefits, and deductions
- Ensure compliance with federal, state, and local payroll regulations
- Work with HR to update compensation changes, new hires, terminations, and benefit elections
- Prepare payroll-related journal entries and reconcile payroll accounts
- Respond to employee payroll inquiries and resolve discrepancies
- Support and coordinate the 401(k) compliance and true-up
- Prepare and support workers compensation audits by compiling payroll and classification data
Accounts Payable Support:
- Set up new vendors in NetSuite, ensuring appropriate documentation and internal controls are followed
- Confirm and validate vendor banking information to prevent fraud and ensure secure payments
- Create and manage purchase orders
- Compare purchase orders to vendor contracts and invoices to ensure compliance with agreed terms and pricing
- Serve as a backup to the Accounts Payable Specialist during absences or peak periods
General Accounting:
- Prepare journal entries, account reconciliations, and month-end close processes
- Maintain fixed asset schedules, accruals, and prepaids
- Support annual audits by providing required documentation and responding to inquiries
- Ensure compliance with GAAP, internal controls, and company policies
Other Duties:
- Assist with special projects and process improvement initiatives
- Collaborate cross-functionally with HR, Operations, and other departments
Qualifications:
- Bachelor's degree in Accounting, Finance, or a related field
- 3 - 5+ years of accounting experience, including payroll processing
- Experience with 401(k) compliance and audit support
- Familiarity with workers compensation reporting and audit preparation
- Strong knowledge of U.S. GAAP and internal controls
- Preferred experience with NetSuite, Paychex, BambooHR and Employee Navigator
- Advanced Excel skills
- Excellent organizational and problem-solving skills
- High level of integrity and confidentiality
