Job Summary:

The Pharmaceutical Inventory Specialist is responsible for overseeing and maintaining the inventory of all pharmaceutical and medical supplies across all MIND office locations. This role ensures accurate ordering, efficient stock management, and compliance with safety and quality standards. The specialist will also be responsible for receiving shipped inventory, logging it into the Lynx inventory system, physically loading medication into refrigerators and cabinets, and running detailed reports on inventory and medication usage for presentation to senior leadership.

Key Responsibilities:

Inventory Management:

  • Oversee and manage the inventory of all pharmaceutical and medical supplies across all MIND office locations.
  • Develop and implement minimum stock levels and reorder points in coordination with the practice manager and physicians.
  • Perform regular inventory audits and reconcile monthly and quarterly counts to ensure accuracy.
  • Order supplies and medications for all MIND locations in a timely manner to prevent shortages or overstocking.
  • Receive shipped inventory upon delivery, verify it against purchase orders and packing slips, and check for accuracy.
  • Log all inventory into the Lynx inventory system to maintain accurate records of medication, sample medication, and supply levels.
  • Physically load medication into refrigerators and cabinets at each location, ensuring proper organization, rotation, and temperature control.
  • Maintain and monitor sample medication inventory, ensuring accurate tracking, expiration management, and proper documentation.
  • Inspect shipments for breakage, damage, or discrepancies and report issues to suppliers promptly.
  • Organize and maintain storage areas to ensure inventory is properly labeled, rotated, and accessible.
  • Run detailed reports on inventory levels, medication usage, and purchasing trends across all locations.
  • Analyze report data to identify patterns, inefficiencies, or potential shortages.
  • Present findings to senior leadership with recommendations for process improvements, cost-saving opportunities, and usage adjustments.

Staff Training and Collaboration:

  • Train staff on proper inventory procedures, including order verification, receiving, and documentation.
  • Educate employees on accurately reporting inventory issues and handling damaged or incorrect shipments.
  • Collaborate with clinical staff to monitor usage patterns and ensure proper handling and storage of pharmaceutical and medical supplies.
  • Communicate with the clinical team regarding supply levels, potential shortages, or product changes.

Compliance and Documentation:

  • Ensure all inventory activities comply with office policies and industry regulations.
  • Maintain detailed records of purchases, inventory levels, and vendor communications.
  • Develop and enforce protocols for handling and disposing of expired or damaged products
  • Utilize historical data and usage trends to forecast future inventory needs.
  • Ensure all pharmaceutical and medical supply inventory practices comply with federal, state, and industry regulations.
  • Maintain accurate documentation and records required for regulatory audits.
  • Stay informed about regulatory changes and update policies accordingly.
  • Monitor drug shortages, vendor allocations, and supply chain disruptions to proactively manage inventory levels.
  • Work with vendors and suppliers to source alternative products when necessary.
  • Develop and implement strategies for handling shortages, including inventory redistribution across MIND locations.

Qualifications:

  • Experience: 2+ years of experience in pharmaceutical inventory management, preferably in a healthcare or medical setting.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Excellent negotiation and vendor management skills.
    • Proficiency in inventory management systems (including Lynx), Microsoft Office Suite, and report generation.
    • Analytical skills to interpret data and identify trends.
  • Knowledge:
    • Familiarity with pharmaceutical and medical supply inventory practices.
    • Understanding of medical supply chain processes and compliance standards.
  • Abilities:
    • Ability to train and lead staff in inventory best practices.
    • Effective communication and collaboration skills.
    • Ability to create and present reports to senior leadership clearly and effectively.
    • Physical ability to lift, carry, and load pharmaceutical supplies into storage units.

Preferred Qualifications:

  • Experience in neurology or a medical office environment.
  • Knowledge of pharmaceutical ordering systems.
  • Familiarity with inventory management protocols and best practices.
