We are seeking a detail-oriented Scheduling Coordinator to manage a range of responsibilities, including recruitment, employee onboarding, and scheduling. This role is key to ensuring our staffing needs are met while maintaining compliance with all applicable employment regulations. The ideal candidate will have prior experience in recruitment, new hire orientation, and other HR functions. Our aim is to create a well-staffed, positive, and supportive work environment for our team.

Key Responsibilities

  • Dual role: Front desk reception duties and scheduling duties.
  • Manage the company’s staffing operations and workforce planning.
  • Coordinate with recruiting partners to fill open roles promptly.
  • Support candidate evaluation, interviews, and hiring processes.
  • Oversee post-hire activities, including relocation assistance and processing legal/employment documents.
  • Organize and facilitate employee orientation and training sessions.
  • Prepare and maintain shift schedules, ensuring appropriate coverage for all positions.
  • Handle timekeeping, attendance tracking, and requests for time off.
  • Work with payroll to ensure accurate employee compensation.
  • Ensure adherence to company policies and employment laws.
  • Generate and submit reports on staffing activities.
  • Use scheduling software to update and adjust the master schedule as needed.
  • Prepare daily 24-hour staffing rosters for the skilled nursing facility.
  • Recruit nursing personnel to address staffing gaps.
  • Review and process PTO and vacation requests.
  • Anticipate and fill staffing needs in advance to avoid shortages.
  • Maintain attendance records and assist in applying progressive discipline for excessive absences or tardiness.

Qualifications

  • Must be able to multitask reception (greet people/answer the phone, etc.) while doing scheduling duties
  • Must have nursing home/assisted living scheduling/staffing coordinator experience
  • Preferably have OnShift Scheduling Platform experience
  • Strong background in HR functions, including hiring, onboarding, and scheduling
  • Knowledge of staffing procedures and best practices
  • Excellent organizational and leadership skills
  • Strong communication and interpersonal skills
  • Energetic and reliable
