- Computer skills and experience with Microsoft Word, Excel, Outlook, and the internet.
- Bilingual in English and Spanish (Preferred).
- Maintain a high level of confidentiality on work content, process, status, etc.
- Ability to handle multiple tasks simultaneously and work under pressure.
- Ability to set priorities based on long- and short-term goals and meet deadlines.
- Great organizational skills with proficiency in producing timely work, detail oriented and adherence to policies and procedures.
- Must pass an initial and periodic background checks and have and maintain a Texas drivers license and a good driving record.
Essential Duties:
- Answer/screen and forward incoming telephone calls promptly and courteously within three rings on a multi-line phone system. Transfer caller to correct individual as requested.
- Greet visitors at the front window and determine their need.
- Maintain office security by following safety procedures and controlling access via the reception desk.
- Give walk-in applicants description HFH new homebuyer program and encourage them to use HFH website to submit a Mortgage Counseling Questionnaire (MCQ).
- Answer questions about HFHSA programs and provide callers/visitors with MCQ status, when available.
- Take complete and accurate messages and distribute them in a timely manner using Outlook, Teams, or handwritten messages.
- Retrieve answering machine messages each morning for both the main office and CTH and forward them to the intended partys mailbox number.
- Make necessary copies of IDs/documents and notify appropriate individuals of visitors arrival.
- Maintain confidentiality while working with sensitive applicant and homeowner information.
- Receive and log MCQs; update daily MCQ received spreadsheet.
- Input Sweat Equity hours for homebuyers in online Applicant Tracking System (ATS).
- Assist Family Services with processing MCQs.
- Update processed MCQ spreadsheet.
- Create response letters from MCQ spreadsheet using mail merge.
- Print, stuff and mail MCQ response letters.
- Assist in collecting down payments/lawnmower payments from homebuyers and forward receipt/check to finance department.
- Report monthly usage of copy machines to third-party vendor. Update Spreadsheet.
- Add funds to the postage machine when funds are at $300.
- Print out monthly postage machine log and produce monthly department breakdown to submit to finance with check request.
- Create monthly office supply expense report by department and submit to finance.
- Accept daily packages from USPS, UPS, FedEx, and other vendors and communicate delivery to intended recipients for pickup.
- Maintain log for packages picked up from front desk.
- Maintain orderly appearance of the reception area with all necessary stationery and materials (e.g. pens, MCQs, printing paper for two printers)
- Provide administrative support to other executive management staff as requested.
- Assist with special events and other departments as needed.
- Support HFHSA ideals and mission through support of the management teams goals, objectives, and decisions. Communicate them to others in a positive manner.
- Ensure strict adherence to HFHSA policies, procedures, and internal controls.
- Other duties and assigned.
Physical Abilities Required:
- The ability to sit at a desk for long periods of time along with the ability to stand and be on your feet for extended periods of time.
- The ability to lift, carry, push, or pull, load and unload medium weights up to 35 lbs.
- The use of hands for simple grasping and fine manipulations with good manual dexterity.
- Listening to and understanding information and ideas presented.
- Must be able to read and understand information and ideas presented.
- Requires the ability to drive a motor vehicle for business errands during the workday.
