Summary
The Recreation Facility Manager is responsible for the daily management and operations of the Mundelein Community Center, Health & Fitness Center, Diamond Lake facility, and additional recreation facilities, as requested. This position coordinates, supervises, plans, and evaluates all operations associated with the facilities, including but not limited to guest services, district-wide registration, membership, and program transactions and rentals. The position will manage and troubleshoot registration issues as needed. This position works closely with district staff to manage, coordinate, and prioritize projects and tasks. Supervision of the Guest Services Specialist, Diamond Lake Bartender/Concession Attendant, Diamond Lake Bartender/Concessions Lead, and Safety Coordinator.
Qualifications - Education, Experience and Training Qualifications
B.A. or B.S. in Recreation Administration, Physical Education, Exercise Science, or related field is required. A minimum of three years of full-time experience in the field of recreation or a related field is required. Experience managing a community center, multipurpose facility, and/or health & fitness center with demonstrated positive financial outcomes preferred. CPR, First Aid, and AED Certification required, and if not certified, must become certified within 90 days of employment. Certification as a Certified Parks and Recreation Professional (CPRP) is preferred.
Duties and Responsibilities
Essential Functions
- Supervise the work of the Guest Services Specialist, Diamond Lake Bartender/Concessions Attendant, Diamond Lake Bartender/Concessions Lead, and Safety Coordinator.
- Manage the daily operations of the Mundelein Community Center, Diamond Lake, Health & Fitness Center, and additional recreation facilities, as requested.
- Manage District's membership, program, and permit registration operations. Remain knowledgeable of recreation registration software for monitoring and making changes as appropriate.
- Provide customer service excellence, leadership, and in-service training for all Mundelein Community Center, Health & Fitness Center, and Diamond Lake support staff.
- Oversee the creation of a yearly calendar of programs and events to support operations and stimulate membership, participation, and financial growth.
- Oversee the recruitment, hiring, training, supervision, scheduling, and evaluation of assigned support staff.
- Coach and mentor all district staff within areas of oversight for effective performance.
- Seek to improve and deliver quality services to customers continuously.
- Attend to questions, suggestions, and/or complaints received from the public and staff quickly and diplomatically.
- Manage retail operations of Health and Fitness Center, including inventory control, pricing strategies, and purchasing.
- Provide accurate information to patrons at all times and be available to troubleshoot any registration, program, or facility issues, as needed.
- Research, develop, and coordinate the implementation of improvements to customer service procedures to enhance membership acquisition, retention, and experience.
- Coordinate, book, and process facility rentals and event requests at the Mundelein Community Center and Diamond Lake in collaboration with the Superintendent of Recreation Facilities.
- Conduct periodic review of facility equipment to be included in the short and long-term replacement plan.
- Verify that all facility equipment is in the highest working order and acceptable levels of cleanliness are upheld.
- Purchase equipment in accordance with budget planning.
- Manage payment transactions, including installment billing, refunds, scheduled payments, and ECP/ACH, and the resolution of outstanding balances.
- Partner with the Director of Business & Technology to maintain proper export of financial and refund transactions.
- Oversee the processing of scholarship requests, payments, and payment plans.
- Review and update registration issues for the brochure and website.
- Manage online inquiries from webmail. Distribute inquiries to the correct department to ensure a timely response to patrons.
- Assist with the coordination of seasonal brochures, including management and preparation of registration operations.
- Develop and execute training for all District staff and departments on registration practices. Generate user profiles and accounts for all employees when necessary.
- Provide program and technical support to all program supervisors.
- Review and update registration issues for the brochure and website.
- Prepare the annual budget for the operation of the Mundelein Community Center, Health & Fitness Center, and Diamond Lake, monitor revenue and expenses, make purchases, and recommend rate and policy changes to the Superintendent of Recreation Facilities.
- Develop long-range recommendations for capital expenses.
- Prepare monthly reports and/or figures concerning the operation of the Mundelein Community Center, Health & Fitness Center, and Diamond Lake, including profit and loss.
- Develop, schedule, and implement an annual calendar of in-service training. Ensure staff attendance. Produce and update training manuals for staff.
- Train and practice with staff the medical emergency, evacuation, and disaster plan so as to be prepared for any and all emergencies.
- Oversee, in coordination with the Safety Coordinator, accident and incident, and property loss investigations.
- Manage and intake calls related to accidents, incidents, and property loss when the Safety Coordinator is not on duty.
- Oversee, in coordination with the Safety Coordinator, the District's safety programs and general safety concerns relating to all Park District operations, functions, grounds, and facilities.
- Oversee, in coordination with the Safety Coordinator, the partnership with PDRMA's Risk Management Consultant on items related to the Risk Management Review (RMR) process and the Essentials of Risk Management (ERM).
- Work during off-hour times to facilitate the successful operation of facilities and promote connection and communication throughout all facilities. Flexibility and high-volume work hours may be necessary to ensure successful oversight of various facilities.
- Ensure staff schedules are prepared for areas of responsibility.
- Approve timesheets for payroll processing.
- Perform other related duties as assigned.
