We are a civil and earthwork contractor based in Snohomish County looking for a detail-oriented Construction Project Coordinator to support our estimating department. This role is the operational backbone of our estimating team — you'll handle the administrative and coordination tasks that allow our estimators to stay focused on executing and responding to invitations to bid. If you thrive on keeping multiple projects organized, communicating clearly with a range of stakeholders, and making sure nothing falls through the cracks, this role is for you.

This is NOT a remote position.

Duties

  • Send out bid documents and solicit quotes from subcontractors and suppliers needed for each project, including follow-up.
  • Assist the estimating and field team with procurement and materials management to ensure timely delivery in keeping with construction schedules, including writing purchase orders with cost coding.
  • Coordinate communication between the estimating and field team, subcontractors, and suppliers.
  • Maintain and cultivate relationships with clients, vendors, subcontractors, consultants, and inspectors.
  • Set up new jobs and maintain project files — including plans, submittals, and closeout documentation.
  • Process submittals: create tracking worksheets, request submittals from suppliers, email responses, and keep the submittal log current.
  • Manage purchase orders — enter using the job cost code book, save to job files, and distribute to appropriate parties.
  • Coordinate locates on a daily basis, update the locate log, and follow up until each locate is confirmed complete.
  • Support traffic control plan requests, field binders, inspection reports, and other project documentation.
  • Maintain the weekly job list, project board, and delivery calendar.
  • Assist with design changes, site-specific activities, accounting tasks, and subcontract processing.

Experience

  • Experience with PO systems and procurement processes.
  • Experience with Microsoft Office (Word, Excel, Outlook); construction software experience a plus.
  • Construction industry background is a strong plus — familiarity with plans, submittals, and field operations preferred.
  • Strong verbal and written communication skills.
  • Able to manage multiple projects simultaneously in a fast-paced environment.
  • Self-starter with strong organizational and time management skills.
  • Calm under pressure with sharp problem-solving instincts.
  • A genuine team player with a positive attitude and willingness to learn — this is a must.
