Position Summary: The Receptionist Team Leads provide guidance and leadership to staff to ensure that all patients receive friendly, thorough, and efficient service. In this position you will help to supervise and oversee daily staff activities, ensuring that all clinic policies and procedures are followed. The Team Lead collaborates with management to support effective departmental operations and fosters positive team relationships.

Essential Job Functions:

  • Greeting patients with a friendly demeanor and assisting them through the check-in process.
  • Learning and efficiently using various computer programs.
  • Scheduling appointments for various imaging modalities and procedures.
  • Verifying patient information and insurance coverage for accurate billing and record keeping.
  • Collecting copayments and balances for services performed.
  • Answering phone calls and addressing inquiries from patients, physicians, and other healthcare professionals.
  • Maintaining cleanliness and organization of the reception area to uphold professional standards.
  • Collaborating with medical staff to coordinate patient care and address concerns and requests.

Team Lead Assignments:


  • Ensures proper and adequate training on job responsibilities and work expectations.

  • Coordinates and/or conducts training and new employee department orientation process.

  • Meets frequently with new employees during the three-month orientation/probationary period to assess capabilities and encourage improvement where needed.

  • Performs 90-day Evaluations for new hires and sends appropriate paperwork to HR.

  • Tracks and reports on inbound and outbound phone calls to ensure receptionist efficiency.

  • Monitors hours and work performance of staff to ensure competency and patient care.

  • Responsible for bi-weekly Time Clock Management as it relates to payroll process.

  • Coordinates work schedules to provide adequate coverage and effective training.

  • Monitors employees hours to ensure benefit eligibility where applicable.

  • Approves and coordinates time off.

  • Approves overtime and make-up hours appropriately.
  • Completes Personnel Action Forms (PAF) as required.

  • Edits Athena Daily Schedules when requested.

  • Resolves employee conflicts in a timely manner to promote a professional work environment and maintain department morale.

  • Provides problem resolution and escalation when appropriate.

  • Acknowledges good work and provides guidance for performance improvement.
  • Attends leadership trainings and coordination meetings with management.

  • Performs other job duties as assigned.

Qualifications:

  • High School Diploma or equivalent.
  • Strong multitasking skills and the ability to prioritize tasks in a fast-paced environment.
  • Attention to detail and accuracy in tasks.
  • Excellent customer service, communication, and leadership skills.
  • Proficiency in Microsoft and other computer experience is preferred.
  • Proficiency with basic medical terminology and experience with electronic health records systems is preferred.

Hours:Full Time 30-40 hours / week

  • Monday-Friday
  • Able to work in our Provo, American Fork, or Salem office locations.

Hours can be between:

  • 6:50am - 8pm Monday - Thursday
  • 6:50am 5:20pm on Friday
