We're Hiring an Operations Manager

If you've spent a career quietly making things work — the kind of person colleagues come to when a vendor bid doesn't match the invoice, when a website project has stalled between three different contractors, when a filing deadline is approaching and someone needs to pull the pieces together — we'd like to talk to you.

Sound of Freedom Foundation is a faith-based charity working on counter-trafficking and related mission work, operating within a small family of related nonprofits. Our leadership team is lean. Our program partners are global. Our donor base is built largely through direct mail, which means our operations calendar runs on campaign deadlines, vendor schedules, and filings that cannot slip.

We need someone to be the operational engine behind the executive team.

What the role actually looks like...

On any given week, you might be placing a list order with a direct mail vendor, verifying that a print run actually came in at the fifteen cents per piece we were quoted, pulling together documentation for our outside counsel on a state filing, fielding a question from our donor services team about a donation platform issue, and coordinating a website copy refresh between a writer and our program director.

None of this requires deep technical expertise. All of it requires good judgment, follow-through, and the ability to keep multiple threads moving without being managed.

You'll oversee our donor services team. You won't be their performance coach — they're experienced — but you will be their first stop when something unusual comes up, and you'll know when to solve it yourself and when to bring it upstairs. You'll report to the CEO and Vice President, and you'll learn quickly which decisions are yours to make and which ones aren't.

What you'll own...

  • Fundraising operations (direct mail and digital) — Execute list orders, manage communications with list brokers, printers, and data processors, support digital fundraising campaigns across email and online channels, verify costs match bids, track monthly volume, and bring observations to team meetings
  • Compliance support — Work alongside outside counsel on state filings and regulatory requirements, compile documentation, chase down what's needed
  • Team leadership — Oversee and manage the donor services team, triage questions, solve what you can, escalate what you can't
  • Project execution — Quarterback one-off strategic projects like website redesigns, coordinating across writers, vendors, program partners, and internal staff

Who we're looking for...

This is a role for someone who thrives in the space between strategy and execution. You bring order to moving pieces, and clarity to ambiguous situations. You're the person others turn to when things get tangled — not because you have all the answers, but because you know how to find them.

Required:

  • Full-time, in-person availability in San Jose, Monday through Friday
  • 5+ years of business administration or operations experience
  • Demonstrated ability to manage vendors, projects, and small teams
  • Strong judgment, discretion, and ability to prioritize competing demands independently
  • Proficiency with Microsoft Excel (standard functions — no advanced analytics required)

Preferred:

  • Nonprofit operations, direct marketing, or charitable fundraising background
  • Familiarity with general business compliance — accounting, state, or federal
  • Willingness to adopt new platforms and technologies into workflows
