Job Summary
We are seeking a detail-oriented and responsive Clinic Support Specialist to assist with administrative and clinical operations in a fast-paced outpatient setting. This role is ideal for a Medical Secretary, Medical Assistant, or LPN who is comfortable working remotely, but available to provide in-office support as needed.
Key Responsibilities
- Schedule patient appointments and manage calendar coordination
- Draft letters, fax documents, and handle secure communications
- Complete patient check-ins and intake documentation
- Call insurance companies to verify benefits and initiate prior authorizations
- Maintain electronic health records (EHR) and ensure documentation accuracy
- Perform vital signs and weights when on-site, if clinically warranted
- Assist with billing-related tasks and insurance correspondence
- Support CEO and clinical team with timely responses and delegated tasks
- Uphold confidentiality, professionalism, and HIPAA compliance at all times
Qualifications
- Certification or licensure as a Medical Assistant or LPN preferred (but not required for administrative candidates)
- Prior experience in behavioral health, psychiatry, or outpatient care strongly preferred
- Proficiency with EHR systems, Microsoft Office, Slack, and other secure messaging platforms
- Strong written and verbal communication skills
- Ability to work independently, prioritize tasks, and respond promptly to leadership requests
- Reliable internet access and comfort with remote workflows
- Willingness to provide in-office support as backup, depending on clinic needs
- Must be available 5–10 hours/week and willing to come into the office as backup based on business needs

- High school diploma or equivalent required
- Completion of a Medical Assistant or LPN program preferred (not required for administrative candidates)
- Current CPR certification required
- Minimum 1–2 years of experience in a medical office, behavioral health clinic, or outpatient care setting
- Familiarity with electronic health records (EHR) and clinical documentation workflows
- Experience with the following platforms is strongly preferred:
- SimplePractice
- Slack
- AMD (AdvancedMD)
- Epic
- Cerner
- Microsoft Outlook, Google Calendar, and secure messaging systems
- Strong computer literacy and comfort with remote communication tools
- Knowledge of HIPAA compliance, insurance verification, and prior authorization processes
- Bilingual candidates are encouraged to apply, though this is not a requirement for the role

- Clinical Support – Ability to perform basic clinical tasks such as vital signs and weights when on-site, if warranted
- Communication Skills – Strong written and verbal communication with patients, providers, and insurance representatives
- Responsiveness – Able to respond promptly to CEO and leadership requests with professionalism and discretion

Work Context
This is a hybrid position with flexible scheduling, primarily remote but requiring occasional in-office support based on clinic needs. The role involves independent task management, timely communication with leadership, and responsiveness to dynamic workflows in a growing outpatient mental health practice.
The Clinic Support Specialist will interact regularly with patients, providers, insurance representatives, and administrative staff. Tasks may be completed via secure digital platforms, phone, and occasional in-person engagement. The environment is fast-paced, trauma-informed, and mission-driven, requiring discretion, adaptability, and a commitment to inclusive care.
Candidates must be comfortable working with sensitive health information, navigating multiple systems, and supporting a neurodiversity-affirming clinical team.
Work Attire: On-site depends on business needs, but often requires business casual.
