Duration: 6 months
Location: Hybrid (Santa Monica, CA 90404)
Duties:
- Manage the executive's day-to-day schedule in a fast-paced environment, anticipating critical events and needs.
- Read and route correspondence; draft responses and other documents as needed; assist with email management when required.
- Coordinate internal and external meetings, conferences, and teleconferences; arrange corporate events and related logistics.
- Handle extensive travel bookings, including cars, flights, hotels, and trains (domestic and international).
- Screen and prioritize incoming email correspondence and inquiries.
- Interact with high-level talent, management, and executive personnel.
- Prepare and coordinate regular meetings, including food ordering, document preparation, organization, occasional meeting coverage, and note-taking.
- Submit expense claims in a timely and accurate manner.
- Coordinate special projects requiring follow-up and deadline tracking.
- Manage ad hoc projects as assigned.
- Maintain a strict level of confidentiality and build strong internal and external relationships.
- Perform additional duties as needed.
Skills:
- Minimum 3 years of experience providing executive support at the C-suite level with a high degree of discretion and confidentiality.
- Professional knowledge of business operations; music or entertainment industry experience is highly preferred.
- Self-starter with excellent organizational skills, capable of prioritizing and working under pressure.
- Ability to anticipate needs, resolve problems, and implement solutions proactively.
- Proven effectiveness in working with senior management and high-level clients.
- Ability to manage highly confidential information while maintaining professionalism and composure.
- Strong interpersonal skills with a dynamic, assertive, and professional demeanor.
- Adaptable to a variety of situations and personalities.
- Exceptional follow-through and attention to detail.
- Demonstrated skills in customer service, time management, and both written and verbal communication.
- Proficiency in leveraging technology and music-related systems to increase efficiency.
- Advanced understanding of travel logistics, including detailed itinerary planning for domestic and international travel.
- Strong proficiency in Microsoft Outlook and other Microsoft Office applications.
- Education: Bachelor's Degree preferred or equivalent work experience
