SUMMARY:


Educare Lincoln is a collaborative partnership between the Lincoln Public Schools (LPS), University of Nebraska – Lincoln (UNL), Early Head Start (EHS), and the Buffett Early Childhood Fund. The mission of Educare Lincoln is to help young children thrive socially, emotionally, and academically through high-quality early childhood education, and in partnership with their families and the community. The EHS program (ages 6 weeks to 3 years) and the preschool program (ages 3 years to 5 years) promote school readiness by enhancing the social and cognitive development of children through the provision of evidence-based education, health, nutritional, social, and other services to enrolled children and their families.

The Administrative Assistant is responsible for answering all incoming phone calls, greeting visitors at the main entrance, entering data, making copies, distributing correspondence, collating informational packets, and assisting with mailings. The Administrative Assistant is also responsible for weekly attendance as required by the local, state and federal regulations.

MAJOR RESPONSIBILITIES AND KEY TASKS:

General Clerical Support

● Answer incoming calls and questions, directing callers as necessary.

● Greet families and visitors at the main entrance.

● Set up meeting room reservations and maintain a meeting calendar.

● Enter data into the Child Plus database and create reports as needed.

● Scan and upload documents in Child Plus.

● Maintain Child Plus database with current family contact information and update as needed.

● Assist with copy requests and fax transmittals.

● Receive and sort mail for the facility and distribute correspondence.

● Collate informational packets for distribution and mailing.

● Assist with the assembly of materials and mailings.

Child Attendance

● Reconcile weekly attendance in Child Plus database.

Administrative Support

● Maintain printers and copier paper levels in the staff workroom.

● Check inventory as needed.

● Create and maintain classroom and office door labels, mailbox labels, and call list for site and update as needed.

● Assist with event promotions and parent participation as needed.

● Create and post necessary communication to families, such as school closings, as needed.

● Provide and/or coordinate technological support to agency staff, visitors and guest trainers

● Assist staff to generate Help Desk tickets through Lincoln Public Schools.

Family Management

● Coordinate with custodians to assure correct setup for trainings.

Other

● Perform other duties as assigned.

QUALIFICATIONS:

● High school diploma or equivalent required; Associates degree or some college coursework preferred.

● Previous receptionist experience preferred.

● Must be able to pass a background check that meets compliance standards.

● Ability to answer busy phones with tact and courtesy.

● Ability to cordially greet public, staff, and students.

● Ability to type and perform data entry with a high degree of accuracy.

● Excellent attendance and work ethic.

● Strong organization skills with the ability to manage time and multiple priorities.

● Ability to collaboratively problem-solve.

● Ability to effectively communicate, both verbally and in writing, in a manner that demonstrates and fosters cooperation, respect, concern, and openness to change.

● Ability to cordially correspond and establish supportive relationships with caseworkers, parents/guardians, staff members, and students.

● Ability to maintain boundaries and perform all duties in an ethical and professional manner.

● Compliance with all confidentiality regulations as required.

● Ability to operate a computer and office equipment, including but not limited to, a telephone, fax machine, and copier.

● Experience with Google Suites products such as Docs, Sheets and Gmail, and willingness to learn other software programs.

● Ability to work within an interdisciplinary team as a cooperative and supportive team member.
