Position Summary:
The Agency Relations & Administration Associate supports the Agency Relations team in assisting Community Food Partners and advancing the mission of OFS. This role provides hands-on experience in nonprofit operations, community outreach, data management, and food security work. This role will also provide administrative support to our MetroMarket program and our Government & Community Relations department.
Position Duration:
This position is for a period of 24 weeks, with an expected commitment of 28-40 hours per week. The position is based at the OFS office with some opportunities for remote work and site visits.
Essential Functions:
Community Food Support and Customer Service
- Forge new partnerships in the community, including creating awareness about OFS programs.
- Serve as lead for the Hunger Hotline, answering calls and tracking results.
- Assist in responding to phone and email inquiries from Community Food Partners and help troubleshoot basic issues.
- Support the distribution and tracking of partner agency badges and data entry related to electronic donation reporting.
- Help ensure timely collection of monthly distribution and donation reports from partner agencies.
- Aid in the planning and coordination of quarterly partner meetings.
- Participate in maintaining warehouse engagement records, including pick-up schedules and distribution volumes.
- Update contact information and documentation for partner agencies.
- Support the process of verifying nonprofit status for Community Food Partners.
Community Food Support

- Learn to refer partner agencies to appropriate OFS programs and resources.
Agency Maintenance
- Help maintain accurate agency information for the Hunger Hotline and other internal databases.
- Assist with the intake process for new Community Food Partner inquiries.
- Participate in maintaining warehouse engagement records, including pick-up schedules and distribution volumes.
- Update contact information and documentation for partner agencies.
- Support the process of verifying nonprofit status for Community Food Partners.
Agency Relations
- Participate in brainstorming sessions to improve partner support services.
- Join team members during site visits to observe partner agency operations and learn best practices.
- Assist with efforts to improve equity and accessibility across partner agency service areas.
- Help explore and assess alternative food distribution methods and logistics improvements.
- Collaborate with other OFS teams to better understand the role of partner agencies.
- Support special events such as food drives, pop-up pantries, and donor activities as needed.
Administrative Support
- Assist in MetroMarket administrative tasks, including MOUs and reports.
- Provide administrative support for Government and Community Relations.
- Compile and organize report data from Community Food Partners for internal review.
- Maintain accurate information for internal databases and inventory system.
- Assist in grant administration, including inventory orders and reporting.
Requirements:
Education and/or Experience:
- Minimum of a high school diploma or GED.
- Minimum of 2 years' work experience in administrative support, account management, and customer service. Non-profit or social-service related experience strongly preferred.
- Minimum of 2 years' experience with data management and report generation.
Knowledge, Skills and Abilities:
- Proficient with Outlook, Word, Excel, PowerPoint
- Strong project management skills.
- Knowledge of food distribution and non-profit sectors is an asset.
- Excellent communication skills, both written and verbal, with the ability to engage with diverse communities.
- Ability to handle multiple tasks and prioritize effectively.
- Strong organizational skills and attention to detail.
Special Requirements:
- Flexibility in working hours for occasional special events after-hours or weekend activities.
- Willingness to volunteer for other OFS duties that don't fall under regular job duties.
Working Conditions and Physical Demands:
- Sedentary inside office work as well as off-site visits to Community Food Partners.
- Ability to stand for extended periods of time, both indoors and outdoors.
