Dental Health Services is a mission-driven dental HMO dedicated to expanding access to high-quality, affordable dental care. We work closely with dentists and specialists to build strong, supportive provider networks that benefit both members and providers. As we continue to grow our network across California, Washington, and Oregon, we are seeking a collaborative and detail-oriented Professional Services Coordinator to support our expanding provider community.


Position Summary


The Professional Services Coordinator supports the day-to-day operations of the Professional Services department with a focus on provider credentialing oversight, provider data integrity, and regulatory support. This role coordinates closely with outsourced credentialing vendors, internal teams, and regulatory bodies to ensure providers are onboarded, maintained, and supported in a timely, accurate, and compliant manner.


This is an entry-to-mid level, hourly position ideal for someone with healthcare or managed care experience who enjoys operational coordination, working with data and reports, and supporting provider-facing processes in a growing organization.


Key Responsibilities


Provider Credentialing Oversight

  • Coordinate and oversee the credentialing and recredentialing process for dentists and dental specialists across CA, WA, and OR
  • Serve as the primary internal contact for outsourced credentialing vendors, tracking progress, timelines, and follow-ups
  • Review credentialing files for completeness, accuracy, and compliance with applicable regulatory requirements
  • Monitor credentialing expirations and recredentialing cycles to ensure uninterrupted provider participation
  • Prepare credentialing summaries and documentation for internal review and committee meetings as needed


Regulatory & Compliance Support

  • Support regulatory requirements and audits for DMHC (California), OIC (Washington), and applicable Oregon oversight agencies
  • Maintain audit-ready provider records and credentialing documentation
  • Assist with responses to regulatory requests, data submissions, and surveys related to professional services and provider credentialing
  • Support updates to policies, procedures, and tracking tools to ensure ongoing compliance


Professional Services Operations

  • Support provider onboarding, status changes, terminations, and reinstatements
  • Ensure provider data accuracy across credentialing systems, internal databases, and provider directories
  • Respond to internal and external inquiries related to provider participation and credentialing status in a provider-friendly manner
  • Coordinate with Network Operations, Claims, Compliance, and other internal teams to ensure smooth provider support
  • Assist with maintaining and improving departmental workflows and standard operating procedures


Reporting & Data Support

  • Produce routine and ad hoc reports related to:
    • Credentialing turnaround times
    • Provider network growth and status
    • Compliance and audit metrics
  • Maintain tracking logs and reports to support leadership visibility and operational planning
  • Identify opportunities to improve efficiency, accuracy, and provider experience


Qualifications


Required:

  • 1+ years of experience in healthcare administration, provider services, credentialing coordination, or managed care operations
  • Experience working with or supporting provider credentialing processes
  • Strong organizational skills and attention to detail
  • Ability to manage multiple tasks and deadlines in a fast-paced environment
  • Proficiency in Microsoft Excel and standard office applications
  • Clear and professional written and verbal communication skills

Preferred:

  • Experience in a dental HMO, health plan, or managed care organization
  • Familiarity with DMHC (CA), OIC (WA), and/or Oregon regulatory requirements
  • Experience coordinating with third-party or outsourced vendors
  • Associate’s or Bachelor’s degree in Healthcare Administration, Business, or a related field
