Summary:

This position provides administrative support to Sales Manager, Marketing Specialist, & Real Estate Agents.

Job Responsibilities:

Property Listings Management

  • Work closely with Agents and MLS (Multiple Listing Services) in preparing listings to go live in MLS.
  • Check compliance in MLS (NH & MA) per Listing contract prior to the listing going live (sqft. price, etc.)
  • MLS Assistance & Status updating; Track status changes for listings, i.e. price reductions, extensions, withdrawals/cancellations and ensure that proper documentation of status changes is received.
  • SkySlope (transaction management platform); Train agents on the platform and assist agents with entry as needed, or as directed by the Sales Manager. Audit MLS to SkySlope to ensure transactions have been uploaded/entered
  • Weekly Friday communication to agents on their scheduled Closing Dates and collect updates.
  • Communicate closely with on-site Transaction Coordinator for commission invoice needs.
  • Back-up to the Transaction Coordinator for M&T check depositing and check printing.
  • Order For Sale Sign installation & removal for every Listing. (Track non-MLS forms as needed)
  • Review and enter showing instructions into the Showing Desk system.

New Agent Setup

  • Print New Hire Packets for Sales Manager to have on hand.
  • Upload new hire paperwork to KACE ticketing system.
  • Update the KACE Agent Relations ‘New Hire’ onboarding ticket as items are completed for the new agent: office tour, MLS paperwork, obtain agent’s headshot & bio, ordering of biz card & signage.
  • Update office roster, cell phone and address lists.

Additional Responsibilities:

  • Receptionist Duties; answer phone and direct calls appropriately.
  • Coordinate Floor Duty schedule using Google Docs.
  • Coordinate weekly Broker Tour with NEAR board. (MLS cut off for BOH is each Wed.)
  • Promote and assist with Sales Meetings and local events. Track company contests.
  • Office A/P invoice processing via Concur platform.
  • Conduct workshops or 1:1 Trainings as requested.
  • Maintain and order office supplies.
  • Troubleshoot printer issues. Copier toner supplies.
  • Coordinate vendors: landscape, snow removal, annual inspections.
  • Agent’s licensing compliance – update master book.

Marketing

  • Support Marketing overflow, or back-up when the Marketing Specialist is out of office.
  • Assist Sales Agents with projects and mailings.
  • Social Media support for sales associates & office accounts.
  • Maxa, print and digital mailing platform.
  • Print property brochures.

Knowledge, Skills and Abilities:

  • Experience in Real Estate office environment, with a solid understanding of MLS systems
  • Proficiency in Microsoft 365 Suite
  • Social media experience posting to Instagram and Facebook.
  • Solid communication skills to handle email and phone business.
  • Ability to prioritize; meeting shifting demands in a sales environment.
  • Ability to work autonomously. Responsible for making decisions at the local office and communicating closely with management. The ability to stand by those decisions when given a task, and to drive involvement with the agents.
  • Excellent written, editing and communication skills
  • Typing accuracy and speed on computer.
  • Strong customer service skills.

Physical Demands:

This position requires an individual to sit mostly at a desk, working on a computer. On occasion the position requires standing, reaching, bending, squatting and walking. The maximum requirement to lift is no more than 20 lbs.

Hours of work:

  • Full-time - Mon-Fri. 9am-5pm... (8 hours per day)
