We are looking for a detail-oriented Event Coordinator to join our team in Boston, Massachusetts or New York on a long-term contract basis. In this role, you will be responsible for supporting program managers with event logistics, sales communications, and budget management. You will also play a key role in smaller industry conferences by coordinating booths and managing event deliverables.
Responsibilities:
• Organize and manage all logistical aspects of events, ensuring smooth execution from start to finish.
• Coordinate with vendors, venues, and internal teams to meet event requirements and deadlines.
• Oversee budget management, including processing invoices and collaborating with Accounts Payable.
• Support the planning and execution of smaller industry conferences, including booth setup and premium distribution.
• Assist program managers with sales communication strategies and event-related materials.
• Maintain and update event documentation and schedules to ensure alignment with goals.
• Provide on-site support for events, including guest check-in and addressing attendee needs.
• Utilize tools such as CVENT to manage event details, registrations, and communications.
• Work collaboratively with cross-functional teams to ensure successful event outcomes.
• Monitor and evaluate event performance, providing feedback for continuous improvement.
• Bachelor’s degree in a relevant field, with 2-3 years of experience in event marketing or marketing communications.
• Proficiency in Excel, Word, and event management platforms such as CVENT.
• Strong multitasking skills, with the ability to prioritize and balance competing goals effectively.
• Experience managing budgets and working with Accounts Payable to process invoices.
• Familiarity with Salesforce or similar CRM tools is a plus.
• Excellent communication and organizational skills to liaise with internal and external stakeholders.
• Ability to adapt to fast-paced environments and handle on-site event coordination.
• Previous experience in the financial services industry is highly desirable.
