Job DescriptionOVERVIEWWe’re looking for a Workplace & Operations Coordinator (Onsite in Chicago, Illinois) to join our client's dynamic and collaborative team dedicated to creating an exceptional workplace experience. The Bellevue/Seattle office is more than just a space, it’s a hub of productivity, hospitality, and culture. They are looking for a proactive and detail-oriented Workplace & Operations Coordinator to help keep operations running smoothly and ensure every employee, guest, and vendor feels welcome and supported.This is a contract position May 27, 2025 - November 27, 2025, 40 hours per week. Rate is $22-24/hour. Must be able to work onsite 5 days a week. RESPONSIBILITIES

Be the first friendly face employees, guests, and vendors see—fostering a warm and professional welcome.

Greet and direct visitors, manage the sign-in process, and build positive relationships with stakeholders.

Proactively share relevant office updates with the team to keep everyone informed.

Handle incoming and outgoing mail, packages, and courier services efficiently.
Workplace Operations & Facilities

Partner with the Workplace Site Manager to support seamless day-to-day office operations.

Open and close the office daily—manage lighting, blinds, supplies, kitchen appliances, etc.

Maintain organization and cleanliness in shared spaces (lobby, kitchen, meeting rooms).

Monitor badge access, distribute temporary badges, and support on-site security protocols.

Track and restock snacks, beverages, and office/kitchen supplies.
Event & Vendor Support

Assist with setup and cleanup for meetings, team gatherings, and office events.

Coordinate food orders and delivery logistics for group meals.

Work with internal event hosts to confirm dietary preferences, service timing, and logistics.

Provide access and workspace assistance to visiting vendors and service providers.
Administrative & Program Support

Maintain documentation for menus, vendor orders, internal events, and recurring programs.

Help employees navigate internal resources and communications.

Support recurring tasks like weekly menu updates and quarterly parking assignments.

Take on additional duties as assigned to support the broader team.
QUALIFICATIONS

Experience in hospitality, customer service, facilities, or employee experience is a plus.

Strong organizational skills with the ability to prioritize and juggle multiple tasks.
