Position Summary:

The Loan Operations Specialist is responsible for supporting the daily functions of the Loan Operations Department by accurately processing, scanning, and maintaining documentation for commercial loans and limited consumer loans. This position ensures the accuracy, organization, and completeness of loan files, while maintaining compliance with internal policies and regulatory requirements.

Essential Duties and Responsibilities:

  • Document Management & Scanning
    • Scan and index new commercial loan documentation into the imaging system.
    • Scan new Change in Terms agreements, miscellaneous loan documents, and exception items for recordkeeping and compliance.
    • Maintain proper document labeling and filing standards to ensure easy retrieval and audit readiness.
    • Perform miscellaneous paper filing as needed.
  • Loan Setup & Maintenance
    • Create and maintain shadow loans for tracking and reconciliation purposes.
    • Process paid-out loans, including preparing and verifying satisfaction and release documentation.
    • Review and update loan information in the core system to ensure accuracy and completeness.
  • Exception Tracking & Reporting
    • Monitor “In Review” items within the loan platform and follow up to ensure timely resolution.
    • Generate and distribute weekly exception reports to loan officers for missing or outstanding documentation.
    • Prepare exception reports to support the satisfaction and clearing of required items.
  • Mail & Administrative Support
    • Process incoming and outgoing mail related to loan operations.
    • Handle general administrative tasks within the department as assigned.
    • Provide support to loan officers and other departments as needed to ensure smooth operational flow.

Qualifications:

  • High school diploma or equivalent required; associate degree or equivalent experience in banking, finance, or business preferred.
  • Prior experience in loan operations, document management, or a financial institution environment required.
  • Strong attention to detail, organization, and accuracy.
  • Ability to manage multiple priorities and meet deadlines.
  • Proficiency in Microsoft Office applications and familiarity with imaging and loan processing systems.
  • Excellent communication and teamwork skills.

Work Environment and Physical Demands:

  • Office setting with routine use of standard office equipment such as computers, scanners, and filing systems.
  • Position requires a high level of confidentiality, accuracy, and efficiency.
  • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this position.
  • While performing the duties of this position, the employee is regularly required to communicate via both verbal and auditory.
  • Specific visual abilities required for this position include close vision, distant vision, color vision, and ability to adjust focus.
  • Position requires that ability to occasionally lift office products and supplies, up to 20 pounds.

Supervisory Responsibility:

  • This position has no direct supervisory responsibilities.

Expected Hours of Work:

  • Some flexibility in hours may be allowed with prior approval, but the employee must be available during the “core” work hours of 8:00 a.m. to 5:00 p.m. Occasional evening and weekend work may be required as job duties demand.

Travel:

  • Primarily local during the business day, although some out-of-area and overnight travel may be needed/expected.
