Boys & Girls Clubs of the Peninsula (BGCP) proudly stands as the largest expanded learning provider in San Mateo County, dedicated to empowering 6,700 TK-College students across 30 sites from East Palo Alto to Daly City. POSITION OVERVIEW
The Regional Operations Manager is a key leader responsible for ensuring the smooth, efficient, and effective operations of multiple BGCP sites. This position requires a strategic thinker and proactive problem-solver who can manage resources, streamline processes, and foster a collaborative and positive environment for both staff and students. The ideal candidate brings strong operational expertise, exceptional leadership skills, and a deep commitment to BGCP's mission and values.

This role reports directly to the Regional Director.

ROLES & RESPONSIBILITIES

Operational Management

  • Partner with leadership to develop and implement operational strategies aligned with organizational goals, ensuring consistent execution and continuous improvement across sites
  • Collaborate with the Regional Director to ensure the accuracy of internal and external (district) student attendance data through regular review and proactive communication
  • Conduct regular site visits to assess operations, provide feedback, and implement corrective actions when necessary
  • Manage new student intakes by monitoring site email communications and ensuring accurate tracking and follow-up
  • Ensure timely processing of program-related expenses in Expensify and maintain accuracy
  • Support sites with Salesforce updates and oversee operational processes such as student snack inventories, ELO-P and ASES audits and attendance tracking to ensure data accuracy and compliance across systems
  • Partner with the Regional Director to maintain up-to-date emergency binders and systems through monthly audits and share updates in regional meetings
  • Lead the onboarding, training, and mentorship of office clerks, fostering a growth-oriented, collaborative team environment

Financial Reporting

  • Develop and maintain budgeting tools to support effective resource allocation
  • Review and compile monthly expense reports and adjust the regional budget accordingly
  • Manage regional purchases and reconcile expenses with Expensify reports

Communication and Coordination

  • Prepare templates, presentation decks, and other materials for regional leadership meetings
  • Send weekly leadership schedules and reminders, set up meeting spaces, and ensure all technology and materials are ready
  • Lead and facilitate meetings as needed, including taking notes and tracking follow-up actions
  • Support internal communications, including newsletter reviews and distribution

Resource and Inventory Management

  • Oversee inventory management and supply distribution across regional sites
  • Respond to site leadership requests for materials promptly and efficiently
  • Provide site coverage and operational support as needed

QUALIFICATIONS

  • Bachelor's degree or equivalent experience in operations, education, or a related field
  • Minimum of 3 - 5 years of experience in operations management, preferably in education or youth development settings
  • Strong leadership and team development skills
  • Excellent organizational, communication, and problem-solving abilities
  • Proficiency in Microsoft Office, Google Workspace, Salesforce, and expense reporting systems (e.g., Expensify) preferred
  • Ability to manage multiple priorities with a solutions-oriented approach
  • Commitment to BGCP's mission, vision, and values
  • Reliable transportation


PHYSICAL REQUIREMENTS AND WORK ENVIRONMENT
The usual and customary methods of performing the job's functions require the following physical demands: occasional lifting, carrying, pushing, and/or pulling; some climbing and balancing; and some stooping, kneeling, bending at the waist, reaching overhead, crouching, squatting, and/or crawling. The role also requires significant fine finger dexterity and near vision acuity. The position may occasionally involve lifting or carrying objects up to 25 pounds. Generally, the job requires approximately 80% sitting and 20% walking or standing. The work environment noise level is typically moderate but may occasionally be louder. All requirements are subject to reasonable accommodations.

WORK SCHEDULE

Monday - Friday, 9:00AM to 6:00PM, with occasional evening or weekend events

This position requires regular travel to multiple sites across Ravenswood to oversee and support program operations.

COMPENSATION & BENEFITS

  • Employment Status: Full-Time Hourly
  • Pay Range: $31.00 - $36.00 per hour, depending on experience (DOE)
