The Dental Receptionist will manage the front desk operations, serve as a welcoming presence for patients, and ensure the smooth flow of daily activities. You will be responsible for providing exceptional customer service, handling scheduling and administrative tasks, processing patient information, and supporting the clinical team with various duties. In this role, you'll ensure that every patient experiences the highest level of service from the moment they walk in the door.

Key Responsibilities:

  • Patient Interaction & Scheduling:
  • Greet patients warmly and professionally, providing a friendly, personalized experience.
  • Schedule and confirm appointments, ensuring optimal flow of the day’s schedule.
  • Assist patients with scheduling follow-up visits, consultations, or treatments.
  • Answer phone calls and emails, addressing inquiries, confirming appointments, and providing information as needed.
  • Patient Records Management:
  • Collect and update patient information, ensuring accuracy and confidentiality.
  • Verify patient insurance details and process billing and payment information.
  • Maintain organized patient files, including medical histories and treatment plans.
  • Administrative Support:
  • Coordinate with dental staff to ensure timely and efficient patient care.
  • Handle patient check-ins and check-outs, ensuring a seamless patient experience.
  • Process insurance claims and follow up on any billing issues or questions.
  • Manage office supplies and assist with ordering as needed.
  • Customer Service Excellence:
  • Demonstrate a commitment to exceptional customer service, always anticipating patient needs and offering personalized assistance.
  • Create a positive and professional atmosphere, ensuring that patients feel valued and comfortable.
  • Address patient concerns or complaints, resolving them in a timely and professional manner.
  • Office Operations:
  • Maintain cleanliness and organization of the reception area.
  • Assist with office scheduling, ensuring that appointments are made efficiently to minimize wait times and maximize productivity.
  • Work closely with the clinical team to ensure patient needs are communicated and met effectively.

Qualifications:

  • Experience:
  • Previous experience as a dental receptionist or in a healthcare setting is preferred, but not required.
  • Familiarity with dental office management software (e.g., Dentrix, Eaglesoft) is a plus.
  • Skills & Abilities:
  • Strong communication skills with a focus on customer service.
  • Exceptional organizational and multitasking abilities.
  • Ability to maintain professionalism and composure in high-pressure situations.
  • Knowledge of dental terminology, procedures, and insurance processes is beneficial.
  • Ability to work independently and as part of a team.
