Part-Time Holistic Health Administrative and Office Support

Overview:

At Sound Mind Acupuncture, we are passionate about helping women shift their frequency and recognize when she is operating from low vibrational states where dis-ease and chronic symptoms are “normal” or “as good as it gets”. We do this by being fully present (listening, seeking to understand, and walking alongside) our clients and equipping her to take radical ownership of the thoughts, emotions, and belief systems she carries in her body.

We are hiring part-time office support for our growing holistic wellness clinic.

Does this sound like you?

You take full ownership over setting the tone for the front office space- you are full of grace and hospitality and listen without judgement, AND you don’t even think twice about nipping any policy-crossing or negative behavior right in the bud. You are adept at reading situations and holding the nuanced balance of being both kind and professional.

You have an extremely low tolerance for gossip, complaining, and excuses. In fact, you’re practically allergic.

You know that the body is designed to heal, that we are more than physical beings living in a physical realm, and that things like frequency, vibration, and resonance greatly impact us.

You are pragmatic and don’t sugar-coat or sweep problems under the rug. You address issues head-on and ask for help when you need it.

The administrative support person has the unique vantage point of seeing multiple aspects of the clinic, where our practitioners only see part of the overall whole. This means you might foresee issues before they even happen and recognize patterns that no one else can see. You understand how valuable your observations are and share what you’re seeing (good, bad, and in-between) during staff meetings. Your input is valued and received.

You love taking ownership of systems and processes AND remain open to guidance, input, and feedback. Ultimately, you want the best for the clinic, team, and clients, even if it means tweaking your beloved system a bit or innovating until we find the systems that flow really well for the office as a whole.

You love supporting our clients, but you REALLY LOVE supporting our practitioners. You see how they pour themselves into client care and you’ve totally got their back from the administrative side. They are so grateful they never have to bat an eye worrying about any of that scheduling or billing stuff. They fully trust you.

You’ve learned to trust your intuition and ask questions or speak up when you’re not sure about something or someone.

You’re able to stay curious and flexible in your thinking and this allows you to stay open to new ideas and possibilities and understand other viewpoints, without necessarily ever changing your own.

You take your work and our clinic mission seriously, but can have fun, laugh, and not take yourself too seriously in the process!

Responsibilities:

  • Administrative support for multiple holistic healthcare practitioners:
    • Manage scheduling
    • Take Payments
    • Communicate with clients and potential clients via phone calls, texts, and emails, as well as clients and staff in person.
    • Basic office tasks

- Maintain a warm and clean atmosphere cohesive with the entire clinic

  • Greet and communicate with clients with hospitality
  • Clear, confident communicator
  • Embody our clinic values (see below)
  • Full of grace and a warm, welcoming energy AND comfortable communicating boundaries and clinic policies with every client
  • Able to disconnect from your personal phone and social media during work hours (except as required for emergencies) and be fully and cheerfully engaged with your work, our clients, and our practitioners.

-Basic cleaning and tidying tasks

- Vacuum, wipe surfaces, maintain a clean tea station in the lobby area, empty trash bins and take trash outside to the dumpster

- Changing the linens in the treatment rooms between clients (ie: the sheets on the treatment table)

Beliefs:

- The human body is a miracle. When given the right tools, support, and care, the human mind, body, and biofield has the innate power and ability to heal itself.

- The unseen impacts the seen, and the seen impacts the unseen. This is a main principle in the healing and personal responsibility coaching we do. And, relevant to the clinic space and administrative aspects of the clinic, our “energy” (unseen vibrations of our thoughts, beliefs, and emotions) impacts our clinic space and relationships just as much as the words we say and actions we take. Our “energy” is ours to keep clean.

Location: In-person, Farmington Hills, MI

Schedule: Beginning with Part-Time

  • 15- 20 hrs/wk
  • Hours may be flexible but initially include partial coverage for the following:
    • Tuesdays, Wednesdays, Thursdays- as early as 9:30am, as late as 7:30pm
    • Fridays- as early as 9:30am, as late as 3pm
    • Potential for Friday evening or weekend availability for special events and workshop (not a requirement for employment)
    • Specific work schedule will be discussed on an individual basis
  • As the clinic grows, this role may have the opportunity to expand.

Pay:

  • $14/hr starting hourly pay for the initial 60 days/training, then will increase.

  • No educational requirements or previous administrative or holistic health experience required. We will absolutely train the right fit.
