POSITION SUMMARY
The Export Coordinator will play a critical role in ensuring the success of international operations by driving speed, accuracy, and compliance across export processes. This position is responsible for managing documentation, coordinating with internal teams, and supporting timely and accurate order fulfillment for global customers.
CORE FUNCTIONS
Create and validate all export documentation, including:
- Commercial invoices,
- Packing lists,
- Shipper’s Letters of Instruction (SLI),
- Free Trade Agreement (FTA) forms/certifications (when applicable).
Confirm accuracy of header and transactional data, including:
- Seller of Record information,
- Ship-to (consignee) and ultimate destination addresses,
- Customer’s customs broker information (when provided),
- Product values, quantities, weights, and descriptions.
Ensure alignment between documentation and physical inventory:
- Perform carton counts, pallet configuration, and labeling.
- Reconcile discrepancies, shortages, or overages with warehouse personnel and adjust paperwork accordingly.
Coordinate and communicate effectively:
- Verify drivers, carriers, and freight forwarders receive complete and accurate documentation at pickup/delivery.
- Work with warehouse floor teams to match physical goods to packing lists and invoices.
- Support real-time issue resolution for shipment holds, mismatches, or missing paperwork.
- Communicate shipment status or documentation needs to Customer Service, Logistics, and Trade Compliance teams.
Maintain compliance and organization:
- Keep organized electronic records of all export documents for audit readiness and retention requirements.
- Partner with Inventory Control to validate stock availability and prevent pick/pack errors impacting export filings.
Additional responsibilities:
- Assist with scheduling pickups and coordinating shipment timelines.
- Respond to customer requests regarding documentation or discrepancies.
- Monitor email inboxes, documentation queues, and system notifications for export requests.
- Support packaging verification (dimensions, weights, labels) to align with paperwork.
QUALIFICATIONS & REQUIREMENTS
Education and Experience
- HS Diploma or equivalent required.
- 2-3 years of experience in logistics or transportation with a strong preference for experience in trade compliance and customs required.
Skills, Abilities, and Knowledge
- Working knowledge of import/export documentation.
- Excellent organizational skills and keen attention to detail.
- Strong communication skills to effectively collaborate with cross-functional teams.
- Proficient in Microsoft Office Suite and ability to learn and utilize several types of software / ERP information systems.
- Ability to write, speak, and comprehend English.
Travel
- Limited travel may be required.

PHYSICAL REQUIREMENTS
This position is subject to sedentary work; Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.

Visual Acuity
The worker is required to have close visual acuity to perform an activity such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; expansive reading; visual inspection involving small defects, small parts and/or operation of machines (including inspection); using measurement devices; and/or assembly of fabrication of parts at distances close to the eyes.
Working Conditions
The worker is subject to inside and outside environmental conditions, including heat, cold, noise, vibration, and hazards from a warehouse-based environment.
