The Opportunity
We are looking for a Service & Parts Coordinator who thrives on flawless execution and attention to detail. In this role, you’ll be the air traffic controller of our operations — making sure every “plane” takes off and lands on time. You’ll be the one who keeps service technicians, customers, and vendors aligned while adapting to last-minute changes without missing a beat.
This position is perfect for someone who is proactive, takes initiative without being told, and is wired to solve problems rather than talk about them. You’ll work under pressure, manage shifting priorities, and ensure our customers and technicians have what they need to succeed.
Key Responsibilities
- Be the first point of contact for customer and vendor calls/emails — respond quickly and effectively.
- Schedule service appointments and dispatch technicians, ensuring deadlines are met even when priorities shift.
- Process work orders, quotes, and service agreements with accuracy and speed.
- Proactively order parts/supplies, track shipments, and manage vendor communication to avoid delays.
- Maintain precise inventory records and anticipate reordering needs.
- Follow up with customers to confirm service status, parts deliveries, and outstanding quotes.
- Coordinate across technicians and internal departments to keep jobs moving to completion without bottlenecks.
What You Bring
- 2+ years of service coordination, operations support, or administrative experience (industrial/service industry preferred).
- Exceptional organizational skills with the ability to manage multiple moving parts under pressure.
- Strong problem-solving mindset — you see issues and take action before being asked.
- Excellent written and verbal communication skills.
- High attention to detail, accuracy, and follow-through in fast-paced environments.
- Proficiency with Microsoft Office; experience with CRM or service management software is a plus.
