Position Summary

The Administrative Assistant will serve as the single point of contact for all administrative, facility, and site-support requirements at the Mesabi Metallics construction site. The role involves day-to-day coordination with multiple internal stakeholders, vendors, and service providers to ensure smooth site operations, infrastructure readiness, and employee support.

Job Responsibilities

Reporting to the Manager - Administration, the Site Administrator Assistant will be responsible for the following:

  • Act as the primary point of contact for all administrative and facility-related queries at the construction site
  • Support office setup, including furniture, workstations, utilities, and office equipment
  • Manage stationery, office supplies, and consumables, ensuring timely availability
  • Maintain inventory of canteen supplies and coordinate with service providers
  • Oversee upkeep and cleanliness of the site office and facilities
  • Coordinate and supervise housekeeping staff and related vendors
  • Arrange vehicles on rent from multiple sources for:
  • Short-term and long-term requirements
  • VIP and leadership movements
  • Coordinate vehicle availability, usage schedules, and vendor interactions
  • Oversee daily site administrative operations to ensure efficiency and compliance
  • Coordinate and schedule site visits for internal teams, leadership, vendors, and external stakeholders
  • Act as the interface between site staff, vendors, and visitors
  • Maintain accurate records related to administration, facilities, vehicles, inventory, and vendors
  • Prepare and maintain basic reports and documentation as required by management
  • Provide administrative support to site-based employees
  • Handle basic finance/admin tasks such as invoicing, timesheets, purchase orders, and vendor bills
  • Coordinate with finance and HR teams for approvals and compliance
  • Proactively identify operational or facility-related issues
  • Escalate matters to management when required and support resolution

Skills and Qualifications

  • Proven experience in an administrative or site-based role
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication
  • Proficiency in Microsoft Office / Google Workspace
  • Ability to work independently and manage priorities
  • Attention to detail and problem-solving skills

Education

  • High School Diploma

Physical Requirements

  • This position is a mixture of field work and office duties. Field work will be conducted daily throughout the year so exposure to the elements (rain, snow, cold, heat, etc) is to be expected. The office duties will require work in front of a laptop, desk, and phone.Some lifting and strength required when working in mill.

Salary Range:

  • $28 - $30 per hour.

  • Paid Time Off (PTO): 0-5 Years: 120 hours per year.
    5-10 Years: 160 hours per year.
    10+ Years: 200 hours per year.
