Community Administrative Assistant
Scope: The Community Administrative Assistant provides administrative support to the Executive Director.
OrganizationalStructure: Reports to Executive Director
PositionStatus: Full-Time, Non-Exempt
Responsibilities:
- Provides administrative assistance, such as writing and editing e-mails, drafting memos, preparing communications, organizing meetings, including scheduling, sending reminders, and organizing catering when necessary, on the executive director's behalf
- Assist with the administration of human resource programs including, but not limited to, payroll, compensation, benefits, and leave; disciplinary matters; disputes and investigations; performance and talent management; productivity, recognition, and morale; occupational health and safety; and training and development.
- Assist with ensuring resident satisfaction including admission paperwork and process, monthly billing and explanations, grievance resolution, customer service etc...
- Assist with physical and digital files for residents and their documents in confidence and in compliance with policies, regulations, and applicable law.
- Participate in month-end close processes of accrual preparation and analysis of general ledger and monthly financials in conjunction with Executive Director.
- Supervise Concierge operations, train staff performing Concierge functions. Provides and coordinates coverage as needed.
- Assist with accounts receivable and accounts payable functions of the community in confidence and in compliance with poIicies, regulations, and applicable law.
- Establishes and maintains an ongoing, positive working relationship with all parties, including outside contacts.
- Oversee maintenance of office equipment and keep inventory of office supplies
- Other duties as assigned.
Qualifications:
- Proven experience as an Executive Assistant or similar role.
- Exceptional organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Proficiency in office software, Excel, Power Point, and Word and the ability to adapt to new technologies.
- High level of discretion and confidentiality.
- Detail-oriented with a proactive and positive attitude.
- Bachelor's degree or relevant professional certification is a plus.
- Ability to work independently and collaboratively in a fast-paced environment.
Physical Requirements:
- Occasional walking or standing
- Must be able to perform work both inside and outside, which requires stooping, bending and lifting of approximately 25 lbs.
