Municipal Court Administrative Assistant Part Time

GENERAL STATEMENT OF DUTIES:
Under direct supervision of the Court Administrator, this part time position performs a variety of administrative duties to assist the Court Administrator and City Prosecutor. This position will prepare documents, assist during docket, and general clerical assistance for the municipal court.
EXAMPLES OF DUTIES: (The following essential job functions and examples of duties are illustrative only and not intended to be all inclusive. Duties may be modified, added or deleted at the discretion of the Court Administrator.)
- Attends court on Thursdays (Approximately 8:00 am to 5:00 pm) and assists with the movement of files during the docket.
- Review and verify data entries completed by other team members to ensure accuracy and consistency. This includes cross-checking data against original documents or source materials and correcting any discrepancies.
- Coordinates and collaborates with the City Prosecutor.
- Prepares municipal court subpoenas for the prosecutor which may include contacting witnesses as well as working with the City Prosecutor and Police Department staff.
- Prepares, reviews, and sends discovery on behalf of the City Prosecutor, in accordance with rules of procedure and state statutes.
- Prepares and sends victim impact statements.
- Build and maintain official court files by coordinating ticket intake, document review, and accurate recording within the courts document management system
- Assist customers during court, at the front window, and over the phone.
- Assist other clerks and administrative staff as needed during high-volume periods
- Provides counter and phone assistance to the public. Customer service duties include but are not limited to scheduling court dates, receiving and recording all payments received in person, via phone or through the mail, posting and releasing of bonds, preparing jail orders, providing information relating to municipal court and directing customers to other agencies as appropriate.
- Retrieves and accesses CCIC records for arrest and driving histories.
- Other duties as assigned.
QUALIFICATIONS:
Knowledge, Skills & Abilities:

- Strong written and verbal communication skills with the ability to effectively communicate and interact with all levels of personnel within the City and the general public in a positive and cooperative manner.
- Ability to establish and maintain effective working relationships with court customers and citizens; ability to handle sensitive situations with tact and diplomacy; maintain confidentiality; communicate effectively both orally and in writing.
- Ability to operate standard office equipment, including but not limited to a computer, calculator, copiers, and other general office equipment.
- Proficient knowledge of Microsoft Office applications.
- Knowledge of principles and procedures of basic record keeping.
- Knowledge of customer relations techniques, i.e., fostering a positive attitude, maintaining a courteous, helpful, and professional demeanor.
- Strong attention to detail.

Experience and Training Guidelines:
- Requires a high school diploma or equivalent; and
- Previous experience with clerical or administrative support and customer service experience is preferred.
- Prior work experience as a court clerk, paralegal, customer service clerk or administrative clerk strongly preferred
- An equivalent combination of administrative clerk education, training or work experience which provides the knowledge, skill and ability required to perform the essential functions of the position.
Physical Demands:
- Work is in an office setting; may be required to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist.
- Lifting: May involve lifting up to 50 lbs. for short periods of time.
Position Type and Expected Hours of Work:
This is a non-exempt part-time position, working an average 20 hours per week. This position schedule will be Monday Friday.
Position Range:
Hiring Range: $22.02 - $26.04 / hour
Salary Range: $22.02 - $31.68 / hour
