Waséyabek Federal Services, LLC (WFS) is a 100% Tribally owned, Native American SBA 8(a) small business of the Nottawaseppi Huron Band of the Potawatomi (NHBP). WFS is part of a portfolio of companies managed by Waséyabek Development Company, LLC, a 100% Tribally owned economic development firm focused on income diversification on behalf of NHBP that reaches beyond gaming is a well-funded, experienced small business, with substantial liquid assets and experience in federal contracting. WFS has borrowing capacity to meet the daily cash needs of new business development, new award support, and operational working capital. WFS is well-versed in federal contract compliance and providing outstanding support services.
Position Summary
Provide broad program and administrative support to the Federal Government’s Graduate Education Program. The program hosts undergraduate, graduate, and faculty research associates.
Responsibilities:
· Provide timely and professional customer service and interaction with internal and external stakeholders (mentors, team supervisors, research associates, potential candidates).
· Provide support, direction, coordination, and communication for obtaining program participants to include answering questions, assisting with program opportunity announcements, assisting with the participant selection process and preparing/reviewing cost estimate worksheets.
· Assist and coordinate with the funding process by submitting required forms, ensuring accuracy and completeness, routing funding packages and monitoring funding status.
· Support the onboarding of research associates to include maintaining and providing welcome packages, coordinating with mentors/stakeholders, coordinate workspace and related equipment/supplies, coordinate travel where required, coordinate, and assist with start date and orientation, and maintain related spreadsheets and files.
· Support program execution by monitoring/communicating funding status, answering questions, providing guidance, supporting travel request process, help administer faculty stipend process, and maintaining electronic files.
· Stewards of organizational culture with a focus on teamwork and commitment to service amidst a diverse colleague and customer base.
· Able to quickly adapt/adjust focus, and problem solve within evolving work demands.
· Ability to adjust schedule to meet quickly developing needs of supervisor and other team members.
· Coordinate and administer various aspects of the End of Appointment/Off-Boarding Process.
· Support the Federal Government’s Awards and Recognition Programs.
· Maintain electronic files; work within automated systems including electronic application system, organizational tracking system, personnel tracking system, Microsoft Outlook calendar/meetings, SharePoint sites, Research Associate Dashboard, and others.
· Identify and train a back-up(s) to manage key tasks when absent.
· Additional functions not specifically outlined in this position description as directed by the leader.
Minimum Qualifications, Knowledge, Skills, and Abilities:
· High school diploma and 4 years’ professional office experience in administrative, technical and/or customer service function. Associates or bachelor’s degree a plus. Education program administration experience a plus.
· Well organized and detail oriented.
· Effective interpersonal and communications skills.
· Excellent written and verbal skills.
· Office equipment and personal computer skills.
· Proficiency with Microsoft products (Word, Excel, PowerPoint, Outlook, SharePoint). Ability to learn government software programs and systems.
· Ability to work independently on projects and apply judgement.

· Ability to quickly adapt focus, adjust schedule and problem solve to meet evolving work demands and needs of supervisor and other stakeholders.

· Ability to pass a pre-employment drug screen.
· Ability to pass an extensive background investigation, including but not limited to personal and professional financial history, nationwide criminal record search, credit check and other relevant background information deemed necessary by WDC.
Preferred Qualifications, Knowledge, Skills, and Abilities:
· Prior knowledge or experience working with Department of Energy Systems.
· Three to five years of related experience preferred.
