Job Description
The Front Office Coordinator is responsible for conducting front office operations in a professional manner. Work involves heavy interaction with people on the telephone as well as personal interaction with company visitors. Performs accounts receivable, accounts payable, and collections. Provides assistance in all other areas of the business operations.
Physical Requirements/Working Conditions
Prolonged periods sitting at a desk and working on a computer. Occasional outdoor or plant visits. Job is fast paced and the ability to deal with stress is essential. Must be able to work in an environment with a high frequency magnetic field, which may affect various medical devices including cardiac pacemakers and implantable defibrillators. Works under minimal supervision, exercising initiative and conscientiousness in the performance of assigned tasks.
Essential Job Duties
· Handles all incoming phone calls.
· Greets customers, vendors and applicants.
· Enters accounts payable invoices and credits. Matches receivers and runs checks.
· Processes accounts receivable invoices, posts transactions and handles cash flow.
· Monitors the accounts receivable aging and makes collection calls on slow paying accounts.
· Send out credit requests and inputs tax exemption numbers.
· Processes credit memos and month end reports.
· Maintains office files.
· Opens and distributes company mail.
· Orders office supplies.
· Cleans and stocks front office kitchen.
· Other duties as assigned.
Skills and Abilities
· Professional verbal/written communication skills.
· Strong organizational skills and a customer service mindset.
· Self-motivated and able to work with little supervision.
· Able to manage multiple priorities and deadlines on an hourly basis.
· Good working knowledge of email, Word and Excel. Other accounting business software like Sage Business Works a plus.
