SUMMARY OF DUTIES
As directed by the Clinical Supervisor, the Administrative Specialist is responsible for providing administrative assistance to support goals of, and services provided by the 'Ohana Resiliency Center (ORC) at Child & Family Service. The Administrative Specialist performs administrative duties including billing, intake coordination and scheduling, initial screenings, and follow-up functions. The Administrative Specialist works closely with clinic staff assisting with clerical and administrative functions of clinic operations. Involves a high degree of confidential information.
EDUCATION AND TRAINING REQUIREMENTS
- High school, plus additional courses or specialized training at business or community college, or other formal training facility or program. Requires ability to understand and carry out assigned duties effectively. Knowledge needed such as stenography, office routines, elementary accounting procedures; operation of equipment such as bookkeeping and billing machines, tabulating equipment, transcription machines.
EXPERIENCE
- Over one year, up to and including two years.
SPECIAL KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED
- Analytical skills, professionalism, problem solving, respect for confidentiality, excellent communication skills.
- Good verbal communication skills, poise, and ability to handle high volume telephone/work duty. Experience with a multiline office preferred.
- Typing at 45 WPM and general office skills.
- Willingness and ability to learn the computer-based billing process.
- PC literate with knowledge of Microsoft Software. Intermediate level on Microsoft Excel, Outlook (Email), and Word processing programs.
- Ability to learn and navigate our Electronic Health Record system (EHR).
- Willingness to learn new functions such as computer systems, business operations and new clinical programs.
- Analyze problems and identify alternative solutions.
- Communicate clearly and concisely, both orally and in writing.
- Ability to work in a fast-paced, ever-changing work environment with multiple demands; ability to meet deadlines and to deliver accurate work products.
- Establish and maintain effective working relationships with those contacted in the course of work including diverse interest groups including participants and their families, insurance companies and governmental organizations.
- Ability to utilize Internet resources.
- Excellent customer service (oral and written communication skills).
- Experience working with military and veteran populations and/or behavioral health participants preferred.
- Demonstrated knowledge about the appropriate and effective use of protected health information.
OTHER POSITION REQUIREMENTS
- This job requires a valid Hawaii driver's license, a clear driver's abstract, and willingness to travel in personal vehicle on an as needed basis throughout the island.
- This position is subject to a criminal background investigation and continued employment is contingent on a record clear of convictions.
- Requires contacts both inside and outside the organization in order to furnish or obtain information and/or provide participant services. Normal courtesy, tact and discretion required.
