Description of Role: We are looking for a Patient Registration Specialist who supports patient care operations by greeting patients, positively identifying them, verifying and updating demographic and insurance information, reviewing and collecting necessary consent and HIPAA forms, and securing payment as appropriate. This role ensures patients are properly prepared for their healthcare visit in accordance with registration processes and policies.
Requirements:
- Greet patients and verify identity using dual-factor authentication.
- Assist with patient transportation needs as appropriate.
- Maintain a clean and professional front office environment.
- Display courtesy and professionalism when interacting with patients, visitors, providers, and team members.
- Adhere to customer service standards in person and via phone or telehealth platforms.
- Travel to support patient care at other locations as needed.
- If driving is required, maintain a valid Texas Driver's License, current insurance, and pass a motor vehicle history check to qualify for mileage reimbursement.
- Perform other duties as assigned.
Essential Job Responsibilities:
- Obtain and scan patient ID and insurance cards into the Athena system.
- Confirm patient identity, address, contact numbers, and email.
- Verify insurance details and primary care provider (PCP), if applicable.
- Confirm insurance eligibility if not previously completed for the visit.
- Review and collect registration forms and agreements including consent for treatment, medical record release, benefit assignments, privacy practices, and HIPAA authorizations.
- Follow PR-19 protocol for same-day or emergency appointment scheduling.
- Review all daily appointments in Athena and MedQ.
- Collect co-pays and outstanding balances, provide receipts, and secure payments.
- Review financial notes and system alerts as appropriate.
- Provide and forward PCP change forms to Patient Advocates as requested.
- Communicate with PODS on patient scheduling issues using RingCentral.
- Check in patients in Athena and mark arrivals in MedQ.
- Coordinate with clinical teams regarding multiple same-day appointments.
- Direct patients to the appropriate sub-waiting area or notify them of next steps.
- Reconcile daily payments with reports and notify leadership of discrepancies.
- Follow cash handling procedures, including change fund reconciliation.
- Assist with armored car pickups for cash deposits when authorized.
- Respond to routine patient inquiries or escalate to Patient Advocates.
- Maintain patient confidentiality in accordance with HIPAA regulations.
Qualifications:
- High school diploma or equivalent required.
- Medical Office or Medical Assistant certification preferred.
- Minimum of one (1) year of experience in a healthcare setting required.
- Family practice or internal medicine experience preferred.
- Bilingual in English and Spanish highly preferred.
- Strong knowledge of medical terminology, insurance, data entry, and scheduling.
- Excellent interpersonal, written, and verbal communication skills.
- Proficient with electronic medical records (EMR), Word, Excel, Internet, and database software.
- Clinic setting with potential exposure to communicable diseases, bodily fluids, medical preparations, and standard clinical risks.
- Requires manual dexterity; ability to sit, stand, bend, kneel, stoop, reach, and walk.
- Ability to lift up to 15 lbs. without assistance.
- Requires close vision and focus adjustment.
