Job Description

We are seeking a dynamic individual with a strong experience in planning, scheduling, and project management. As a Shop Coordinator, you will play a key role in prioritizing and coordinating repair and reconditioning projects, enhancing utilization and throughput alongside Team Leaders and Management.

Responsibilities

  • Coordinate the full flow of repair and reconditioning projects to improve utilization and throughput.
  • Create comprehensive job packets for all repair projects, including drawings, quality plans, checklists, scan sheets, and EHS documentation.
  • Perform key tasks in MRP and Lotus Notes systems, such as ordering parts, creating purchase orders for outsourced services, and scheduling freight.
  • Support the Service Center team in achieving baseline measurements, KPIs, and operational targets.
  • Coordinate, document, and follow through on all ACT warranty claims.
  • Participate in activities across Service Centers, Manufacturing, Sales, and Office environments, including huddles, visual management boards, continuous improvement activities, standard work reviews, and problem solving sessions.
  • Manage job costs to ensure pricing and expenses support acceptable margins.
  • Provide regular project updates, verifying work accuracy and analyzing progress, variances, and performance metrics.
  • Advise on corrective actions to resolve schedule deviations and mitigate risks.
  • Publish schedules, task lists, and work-center assignments for smooth execution.
  • Attend and participate in production, scheduling, kick-off, costing, and closeout meetings, and lead them when required.
  • Join customer conference calls and status meetings to communicate project updates and schedule impacts.
  • Ensure consumables are properly tracked and recovered based on actual usage.
  • Arrange service shipments and coordinate delivery details with customers.
  • Order consumables and manage vendor purchase orders for the Service Center.
  • Maintain accurate documentation by scanning and organizing project information.
  • Uphold safety standards and proactively promote safe work practices.
  • Demonstrate professionalism, courtesy, and collaboration with colleagues, customers, vendors, and visitors.
  • Ensure compliance with all company policies, procedures, and guidelines.
  • Interface effectively with internal and external customers at all organizational levels.
  • Manage multiple concurrent assignments in a fast-paced environment with shifting priorities.
  • Perform additional duties as directed by Management based on evolving business needs.

Essential Skills

  • Bachelor’s degree in Business, Engineering, Operations, Supply Chain, or a related field, or equivalent work experience.
  • Minimum of 3 years of production/operations planning and scheduling experience in fabrication, manufacturing, or service environments.
  • Expert-level experience with ERP systems and strong working knowledge of CPM scheduling tools such as Primavera or Microsoft Project.
  • Demand planning experience with the ability to manage forecasting, materials flow, and scheduling priorities.
  • Strong analytical, organizational, and written/verbal communication skills.
  • Proficiency in Microsoft Excel (Power Pivot, Power Query, VLOOKUP preferred) and familiarity with MS Office; Power BI experience preferred.
  • Ability to interpret technical drawings/blueprints and understanding of machining or welding processes.
  • Experience applying LEAN methodologies or other process improvement tools.
  • Ability to manage deadlines, prioritize effectively, and perform well under pressure in a fast-paced environment.
  • Demonstrated initiative, urgency, and ownership in managing responsibilities.

Additional Skills & Qualifications

  • Experience in project controls such as cost engineering, logistics, or contracts.
  • Experience in project management within manufacturing is a big plus.

Work Environment

The work schedule is typically 8am-5pm, with some overtime as needed. The environment is fast-paced, requiring adaptability and effective prioritization to manage shifting priorities.

Job Type & Location

This is a Contract to Hire position based out of Houston, TX.

Pay and Benefits

The pay range for this position is $25.00 - $35.00/hr.
