A Warranty/Fleet Administrator manages warranty claims for products (like vehicles or
equipment) and oversees fleet operations, ensuring timely manufacturer
reimbursement, accurate record-keeping, compliance, and efficient vehicle/asset
management, involving claim processing, parts coordination, software use, financial
reconciliation, and communication with customers/vendors/manufacturers for both
warranty and fleet logistics.
Key Responsibilities
Warranty Claim Processing: Prepare, submit, and track warranty claims with
manufacturers/distributors, handling corrections, charge-backs, and
resubmissions for approvals.
Financial Reconciliation: Reconcile warranty receivables, post credits, and
maintain low days-outstanding for claims.
Fleet Management: Utilize fleet management software (like Motive) for tracking,
monitoring fuel, maintenance, and reporting on vehicle usage and costs.
Record Keeping: Maintain accurate records of claims, parts inventory, service
records, and compliance documents.
Communication Coordination: Liaise with service departments, customers,
manufacturers, and vendors regarding claim status, parts, policies, and fleet
issues.
Policy Compliance: Stay informed on factory recalls, bulletins, and relevant
local/federal regulations (e.g., DOT).
Administrative Support: Handle general office duties, phone calls, data entry, and
report generation.
Essential Skills Qualifications
Experience: Background in fleet, warranty, or dealership administration (often 3+
years).
Technical Skills: Proficiency with office software (Word, Excel), fleet
management systems (Motive), and data entry.
Soft Skills: Strong critical thinking, problem-solving, attention to detail,
organization, communication (written/verbal), and ability to multitask.
Education: Often an Associate Degree or equivalent experience in a business or
technical field.
