The Midtown Group has been exclusively selected to fulfill a long-term, part time Executive Assistant role for one of the nation's top transportation organization's. The selected candidate will support the new President of the company.
Ideal candidates will be up for working from 10 a.m. until 2 p.m. or so and be willing to pick up a few extra hours, as needed. They will also be able to make it into the office a day or two per week and as needed.
SUMMARY OF DUTIES:
This position provides high level administrative support to the President’s Office to ensure efficiency and effectiveness of the day-to-day operation of the office. Maintains records of all expenses incurred by the President. Composes, edits, and assists in preparation of all correspondence. Coordinates travel arrangements, schedule and calendar. Procures office equipment & supplies while adhering to budgeting guidelines. Will assist in coordinating town halls and assist in preparing presentations when needed. Acts as a liaison with other departments and outside agencies, including high-level staff such as Executive Vice Presidents, and Senior Leadership. Handles confidential and non-routine information.
This is office based in Washington, DC. near Union Station
ESSENTIAL FUNCTIONS:
- Must give continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines
- Must have high level of interpersonal skills to handle sensitive and confidential situations. Position requires demonstrated tact and diplomacy.
- Must manage time effectively to respond to customers quickly and accurately.
- Must be able to streamline work methods and processes to eliminate inefficiencies.
- Must demonstrate proficiency in a variety of computer software applications in word processing, spreadsheets, databases, and presentation software including Microsoft Office.
- Must have analytical ability in order to find solutions to various administrative problems, and prioritize work.
- Must have ability to operate office equipment.
- Must be able to travel and work irregular hours.
MINIMUM QUALIFICATIONS:
Bachelor’s Degree required OR equivalent combination of training, education and relevant experience may be considered in lieu of a degree.
Significant professional secretarial and/or administrative experience working in a fast-paced office environment.
