Position: Registration Event Coordinator


Department: Registration & Event Technology


Location: Remote for residents of Florida, Georgia, Illinois, Massachusetts, Michigan, Nebraska, Nevada, New Jersey, North Carolina, Ohio, South Carolina, Texas, Virginia, Washington or California residents residing more than 50 miles from Folsom, California. California residents within 50 miles of the Folsom, CA office will be subject to hybrid work agreement.


Compensation: $50,000 - $60,000


Direct Report: Manager, Support Services


Exemption Status: Non-Exempt


Work Hours: Full-Time. 8:00am-5:00pm. Monday through Friday with occasional evening and weekend work required.


Travel: 0-10%

Job Summary

The Registration Event Coordinator is key to maintaining and improving client satisfaction by supporting Event Technology Success Managers in the areas of event registration, mobile apps, abstract/session management, lead retrieval, and/or onsite support. This role leverages SaaS platforms to deliver visually cohesive sites and drive customer success. In this role, you are responsible for assigned operational tasks, including but not limited to, building the events in the platform applications, creating robust websites, providing consultative build recommendations, analytical event data review, providing onsite event support, report creation, and providing support via multiple communication channels. The position requires strong collaboration with internal teams, managers, and cross-functional departments within ConferenceDirect.

Requirements:

Responsibilities

· Build registration and mobile app sites to ensure visually appealing, user-friendly, and on-brand booking experiences

· Work in collaboration with Event Technology Success Manager(s) on the creation of event sites for assigned technology service lines within required timeline deadlines and providing consultative build recommendations

· Participate in client conference calls assisting Event Technology Success Manager(s) as required

· Customize training documentation and guides for attendee, exhibitor, and speakers

· Conduct and document site Q&A’s and work through challenges and resolutions prior to Go Live

· Implement client-requested changes throughout the site build process and conduct final walkthroughs to ensure accuracy, functionality, and client satisfaction

· Participate in the planning and execution for onsite check-in, badge printing, and lead retrieval services, as needed

· Assist with fulfillment of in-person onsite services or virtual day of support needs. This may include troubleshooting technical issues, frontline support for event participants, assisting with onsite badge printing & check-in, and video conferencing set up management. Conduct onsite Training for registration of Staff and/or Volunteers.

· Respond to client/speaker/attendee technical issues and inquiries with accelerated response times

· Lead customer contacts through platform admin training and onsite prep, as needed

· Troubleshoot platform challenges, identifying patterns, and implementing solutions to address root causes and prevent recurrence

· Support maintenance tasks as assigned by Event Technology Success Manager(s)

· Support with client closeout process, financial reconciliations, and creating final reporting within 30 days post-event

· Required to record time spent for client accounts using designated time tracking tool

· Provide backup support for other projects and responsibilities as needed

Required Education and Experience

Bachelor's degree in Business Administration, Hospitality, Event Management or related field, or 2-3 years relevant experience in the Event Technology Services industry.

· Previous experience in some of the Event Technology and Registration platforms is preferred: Streampoint, Stova, Cvent, Personify, Swapcard, EventMobi, Sessionboard

· Ability to communicate professionally and effectively in-person, via email and over the phone

· Strong organizational and time management skills

· Previous experience and demonstrated success managing multiple projects at one time

· Ability to remain organized and clearly communicate in a fast-paced environment

· Ability to break down complex projects and initiatives into attainable project tasks using critical thinking and problem-solving skills

· Ability to work across organizations and lines of business

· Willingness to participate in departmental projects

· Ability to communicate in a remote working environment


Supervisory Responsibility

This position does not have any direct supervisory responsibilities.


Work Environment/Physical Demands

This position operates in a professional office environment. This role routinely uses standard office equipment such as computers and phones. While performing the duties of this job, the employee is regularly required to talk or listen. The employee frequently is required to use hands to grasp, handle or feel; and reach with hands and arms.
