We are seeking a highly organized, proactive High Level Executive Assistant to serve as the right hand to the team owner, John Coleman. This is a high-trust role for someone who enjoys being deeply involved in the day-to-day rhythm of a growing real estate business and helping keep both the leader and the team focused and accountable.
This position requires someone with a servant’s heart who genuinely enjoys supporting others and handling the details that keep the business running smoothly.
The ideal candidate is proactive, detail-oriented, and persistent. You don’t wait for things to happen; you follow through. If a response is needed, you’re comfortable calling, texting, and emailing until you get clarity, because you understand that momentum in business depends on follow-through.

Compensation:

Compensation:

Responsibilities:
- Serve as the right hand to the team owner, proactively supporting day-to-day priorities and ensuring commitments, tasks, and deadlines stay on track
- Manage and organize the owner’s communications, including email management, follow-ups, and ensuring important messages and requests are handled promptly
- Track team appointments, commitments, and reporting, helping ensure agents stay accountable to their goals and responsibilities
- Coordinate and execute client events, team activities, and special projects that support the growth of the business
- Provide exceptional client service to buyers and sellers throughout the transaction process, ensuring a smooth and professional experience from contract to closing
- Communicate regularly with clients to provide updates, progress reports, and feedback from showings
- Keep the agent informed on the status of all buyer and seller transactions, and flag when their involvement is needed for negotiations or problem resolution
- Assist with listing preparation, including coordinating staging, repairs, and property readiness for the market
- Support marketing efforts by helping prepare listing materials, buyer resources, and pre-listing or buyer consultation packages
- Schedule showings, manage transaction timelines, and assist with key milestones such as inspections, walkthroughs, and closings when needed
- Maintain and organize client and transaction databases, team files, and internal systems to ensure accurate and up-to-date records
- Help maintain operational efficiency by supporting and improving systems and processes as opportunities arise
- Maintain strong communication with the owner and team, ensuring issues, opportunities, and client needs are addressed quickly
- The bottom line: take ownership of anything and everything that helps the owner and the team stay organized, focused, and moving forward
Qualifications:
- 2–3 years of administrative, executive assistant, or operations support experience (inside or outside of real estate)
- Real estate experience preferred but not required for the right candidate
- Must be able to work in person and thrive in a fast-paced, team-oriented environment
- Highly organized, structured, and detail-oriented with strong time management skills
- Strong sense of accountability, prioritization, and follow-through
- Confident communicator who is comfortable speaking up and helping others stay accountable to their commitments
- Persistent and proactive, you follow up until things are completed and resolved
- Driven by results and motivated by helping the team achieve its goals
- Able to identify problems early, escalate when necessary, and help find practical solutions
- Hardworking, responsive, growth-minded, and committed to continuous improvement
- Systems-savvy and comfortable learning new tools and technology quickly
