Our programs center on Presidents’ Clubs and Sales Kickoffs, where we handle global hotel sourcing & negotiation, bespoke itineraries, transportation/excursions, on-site ops, and more. This Role
Turn a client’s requirements into a once-in-a-lifetime trip by solving a complex puzzle of budget, destination, and activities - bringing it to life through expert vendor management across hotels & in-market travel agencies.
You’ll translate a brief into real options, negotiate for value, and stitch every moving part into a premium, error-free itinerary. This role is the operational muscle of the program - deep in the weeds with partners to ensure the guest experience is unforgettable and the plan stays on time and on budget.
What you'll do
- Hotel & vendor sourcing & negotiation: Lead RFPs, compare concessions, and negotiate phone-forward to win better rates/terms.
- Luxury with taste: Curate options that reflect luxury standards - even if you aren’t living in 5-star hotels, you know what “great” looks and feels like for our guests.
- Itinerary-level planning: Partner with in-market vendors to shape day-by-day experiences and signature moments that photograph beautifully and leave a lasting impression.
- Accuracy & speed: Reduce time-to-source and eliminate errors; keep briefs, RFPs, and decisions crisp.
- Tool power-user: Work inside our ReadyGo platform (registration, itinerary, travel & rooming, exec packet) and suggest improvements as you go.
- Governance first: Align with budget forecasts and approval gates; we don’t exceed the budget, and we plan to keep it that way.
- Cross-functional glue: Sit between Sales/CEO, Events/HR, and Finance to translate needs into sourcing choices that land.

- Can prioritize calmly in a fast, changing environment and keep promises.
Qualifications
- 2–5+ years in group travel/event sourcing, vendor or DMC management, or hotel sales/ops.
- Portfolio or examples that show your aesthetic judgment (decks, one-pagers, itineraries).
- Strong written/verbal communication; confident leading calls with hotels and DMCs.
- Comfortable with modern tooling (RFPs, spreadsheets, CRMs, travel platforms; learning ours fast is key).
