Summary of Position:

A payroll specialist prepares and distributes a company’s payroll, prepares any necessary tax documents, and makes sure that all hours, benefits, and deductions are logged appropriately and that all payroll accounts remain balanced.

Duties and Responsibilities:

  • Must have working knowledge of maintaining ADP. A plus to have is ADP Biometric and Workforce Now.
  • Responsible for managing bi-weekly payroll for all domestic employees and monthly for international employees.
  • Audit and approve all earnings, deductions, and tax calculations in the payroll system.
  • Ensure compliance with state and federal laws regarding FMLA/LOA, FLSA, pretax and post-tax deductions, payroll taxes, quarterly/annual employer tax returns and year end reporting.
  • Handle all year-end review and distribution of W-2 processed by ADP.
  • Assist in processing new hires, terminations and employee changes in payroll system (ADP).
  • Maintain deductions and rate tables.
  • Audit benefit elections with employee deductions to ensure proper withholdings.
  • Maintain timekeeping system (ADP Biometric), which includes managing supervisor/organizational structure.
  • Use ADP reports to update other systems as necessary.
  • Must know how to register and close states for withholding, unemployment and local taxes when necessary.
  • Resolve employee concerns regarding salary/wage payment, taxation, garnishments and other deduction issues.
  • Manage annual audits including tax withholdings, direct deposits, 401k, etc.
  • Provide guidance and support to the Accounting and HR team members.
  • Run Custom and Ad-Hoc reports monthly or as requested.
  • Manager Budget for HR and General Affairs
  • Process approval and accounting documents for invoice payments.
  • Maintains highly confidential employee information and documents
  • Other duties as assigned

Education:

Bachelor’s degree in accounting, finance or equivalent preferred.

Position Requirements and Qualifications

  • 3-5 years of payroll experience required.
  • CPP certification a plus.
  • Experience managing a multi-state payroll for over 300 employees.
  • Demonstrated knowledge and full understanding of end-to-end payroll business processes including employee data setup, payroll processing, gross-to-net calculations, garnishments, fringe benefit taxation, payroll reporting, and all Federal and State tax processing is required.
  • Experience with ADP payroll system required.
  • Attention to detail is a must.
  • Proficient with MS Word, Excel, and Outlook.
  • Must be able to multi-task and have excellent organizational and analytical skills
  • Excellent oral and written communication skills.
  • Ability to work in a deadline driven environment.
