Volt is immediately hiring for an IT Executive Assistant for immediate hire in San Diego, CA.
As an IT Executive Assistant you will:
- Provide comprehensive executive administrative support to the CIO and other senior IT leaders as needed.
- Manage complex calendars for the CIO and department-wide events, ensuring alignment across global time zones.
- Coordinate meetings and engagements across international teams, including logistics, agendas, and follow-ups.
- Lead planning and execution of large-scale meetings and events, such as quarterly department reviews and special initiatives.
- Draft, edit, and format executive-level documents, presentations, and reports.
- Attend key meetings to capture minutes and action items; track and follow up to ensure timely completion.
- Act as a point of contact and gatekeeper for the CIO, managing access and prioritizing requests.
- Draft and disseminate communications to global teams via email, Viva Engage, Microsoft Teams, SharePoint, and the corporate website.
- Facilitate onboarding processes for new team members within the ITS department, ensuring a seamless experience.
- Maintain and manage distribution lists and Microsoft Teams channels for the CIO organization.
- Oversee office space assignments and related logistics using iOffice.
- Monitor and replenish office supplies based on team needs.
- Coordinate travel arrangements and expense reporting for the CIO.
- Organize onsite and offsite events such as team-building activities, retirement celebrations, and conferences.
- Assist with procurement activities, including creating and managing purchase orders through the Coupa system.
- Liaise with external vendors and service providers; assist with contract coordination and renewals.
- Prepare briefing materials and background documents for executive meetings and travel.
- Provide logistical and communication support during urgent or high-impact situations.
- Support employee recognition, training, and professional development initiatives.
- Maintain organized filing systems (digital and physical) for easy retrieval of critical information.
- Update and administer rosters and facilitate coordination for safety events such as evacuations and drills.
This is a full-time 1 year temp, possibly longeropportunity.
Schedule: Monday – Friday 7am to 4pm. Position requires you work full time onsite in San Diego.
The ideal candidate will have:
- 5+ years of experience in executive support or coordination roles with increasing responsibility.
- Proven ability to manage multiple priorities with efficiency and discretion.
- Strong initiative and ability to thrive in a dynamic, global team environment.
- Proficiency in Microsoft Office Suite and collaboration tools.
- Excellent verbal and written communication skills.
- Familiarity with standard office equipment and AV tools.
- Demonstrated ability to maintain confidentiality and exercise sound judgment.
- Flexibility to occasionally work outside standard business hours to support global operations.
- Bilingual Spanish preferred
Pay Rate: $25-40 Per Hour DOE
*Pay range offered to a successful candidate will be based on several factors, including the candidate's education, work experience, work location, specific job duties, certifications, etc.
