Position Summary
The Labor Coordinator plays a vital role in supporting Cornerstone's live event operations across audio, video, lighting, rigging, staging, and production services. This position oversees labor sourcing, scheduling, travel coordination, payroll support, compliance tracking, and on-site crew leadership.
As the primary labor lead for assigned events, the Labor Coordinator ensures crews are properly staffed, prepared, and managed throughout all phases of production, including load-in, rehearsals, show operation, and strike.
Success in this role requires exceptional organization, strong communication skills, adaptability, and the ability to lead confidently under pressure.
Key Responsibilities
Crew Sourcing & Staffing Coordination
- Source, recruit, and secure qualified technicians, freelancers, stagehands, and specialty labor for live events.
- Maintain and manage internal and external labor rosters, prioritizing approved and preferred crew resources.
- Coordinate crew availability, confirmations, replacements, and schedule changes as event needs evolve.
- Ensure all labor documentation remains current, including W-9s, Certificates of Insurance (COIs), Independent Contractor Agreements, and other compliance records.
- Build and maintain strong relationships with freelance technicians, labor brokers, staffing vendors, and technical labor providers.
On-Site Crew Leadership & Event Execution
- Serve as the primary on-site labor manager during assigned events.
- Lead labor crews throughout load-in, setup, rehearsals, show operation, and strike.
- Review event plans and determine staffing assignments across departments.
- Communicate timelines, expectations, safety standards, and workflow requirements.
- Monitor productivity, organization, and crew performance throughout all event phases.
- Make real-time staffing adjustments to support changing production needs.
- Act as the communication link between Event Producers, Technical Directors, Operations teams, and labor crews.
- Resolve labor and workflow issues quickly and professionally.
- Remain on-site until all labor activities are completed, crews are checked out, and documentation is finalized.
Labor Scheduling & Logistics
- Create and distribute detailed labor schedules for load-ins, rehearsals, show days, and strikes.
- Coordinate travel logistics, including flights, hotels, rental vehicles, and per diem requests.
- Manage labor calls and scheduling within Flex Rental Solutions, Lasso, or similar platforms.
- Maintain accurate staffing calendars and labor records.
- Support touring logistics and long-term crew planning for recurring clients and multi-day productions.
Budgeting, Payroll & Compliance
- Track labor hours, overtime, staffing levels, and labor utilization.
- Support payroll processing through accurate timekeeping and job coding.
- Review labor invoices and assist with discrepancy resolution.
- Ensure compliance with labor laws, safety regulations, union requirements, and company policies.
- Assist with labor cost management while maintaining quality staffing standards.
Communication & Administrative Support
- Serve as the primary point of contact for labor crews regarding schedules, assignments, and event updates.
- Collaborate closely with Event Producers, Technical Directors, and Operations teams.
- Communicate schedule changes promptly and professionally.
- Prepare agendas and maintain notes for labor planning meetings.
- Manage labor-related purchase orders, expenses, and scheduling data.
- Distribute event documentation including call sheets, run-of-show schedules, travel details, and event packets.
- Maintain company credit card records, receipts, and per diem documentation.
- Perform additional operational duties as needed to support business objectives.
Qualifications
Experience & Knowledge
- Minimum of 2 years of experience in labor coordination, event staffing, live event production, or related operational roles.
- Working knowledge of live event production environments, including audio, video, lighting, rigging, staging, and show operations.
- Familiarity with both union and non-union labor environments.
- Experience coordinating travel logistics and managing scheduling systems.
- Experience with Flex Rental Solutions, Lasso, or similar labor management software preferred.

Working Conditions & Schedule
On-Site Event Requirements
- Combination of office-based planning and on-site event execution.
- Frequent work at arenas, convention centers, theaters, corporate venues, and touring locations.
- Expected to remain on-site until labor operations are fully completed and closed out.
Schedule Expectations
- Early mornings, late nights, weekends, and holidays are a regular part of the role.
- Event schedules often require extended hours beyond traditional business operations.
- Must maintain professionalism and attention to detail during long production days.
Travel Requirements
- Extensive travel required, including overnight and multi-day events.
- Travel may occur with limited notice based on client and production demands.
- Ability to effectively coordinate labor operations while traveling is essential.
